Full job description

NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non-clinical professions and roles. We deliver acute hospital, primary, community and mental health services to a population of over 1.15 million people, and to a wider population of 2.2 million when regional and national services are included.

The role:

We are looking for a highly organised and motivated Administrator to join the Heartstart team within NHS Greater Glasgow and Clyde, supporting a lifesaving community service that makes a real difference every day. This is a varied and rewarding role where you will provide comprehensive administrative support to the Heartstart Lead and Resuscitation Services, helping to deliver CPR and emergency life support training across Argyll and Clyde. Working within NHSGGC offers the opportunity to be part of a valuesdriven organisation, committed to improving health, reducing inequalities and supporting its staff. You will work closely with dedicated clinicians, volunteers and partners, contributing directly to community resilience and public health. This role is ideal for someone who thrives in a fastpaced environment and enjoys building positive relationships.

Heartstart is a community project which lies within the acute sector of NHS Greater Glasgow and Clyde, as part of the Clyde Resuscitation Team. Heartstart covers the area of Argyll and Clyde and visits approximately 70% of schools within this geographical area. The Heartstart service aims to promote an increased awareness of bystander CPR and life-threatening emergencies within the community, workplace and schools, giving people the skills, knowledge and confidence to deliver basic emergency life support if the need arises.

Monday to Friday
Please note the salary is Pro Rata for part time hours

Key responsibilities:

Provide high-quality confidential administrative support to the Heartstart Lead and Lead Nurse Resuscitation Services
Coordinate, schedule and administer Heartstart training courses for schools, communities and workplaces
Act as the first point of contact for over 160 community volunteers, ensuring clear communication and support
Maintain accurate training database records and documentation, including PVG processing
Organise meetings, prepare agendas, take minutes and follow up on agreed actions
Manage diaries, travel arrangements, venues, stock ordering and processing of invoices
Design and prepare information leaflets, presentations, reports and general correspondence

Knowledge, training, qualifications and/or experience required to do the job:

A good geographical knowledge of the area covered within the role would be beneficial
Administrative or secretarial qualification or equivalent experience in a similar role
Minimum of two years' experience in an administrative or secretarial position, preferably within the NHS
Proven ability to coordinate training events and manage multiple priorities effectively
Excellent IT skills, including Microsoft Word, Excel, PowerPoint and database systems
Strong communication skills with the ability to engage confidently with volunteers, staff, and the public
Experience in minute-taking diary management and working with minimal supervision
High level of organisational skills with a proactive approach and attention to detail
