Full job description

Walker Singleton are one of the leading independent Chartered Surveyors and Estate Agencies in the North of England. We are looking for an experienced, organised and detail-focused Commercial Property Management Accounts Administrator to join our growing property management and accounts team.

You'll play a key role in supporting the financial management of a commercial property portfolio, working closely with property managers, tenants, suppliers, clients and internal finance teams to ensure accounts are accurate, deadlines are met and queries are resolved efficiently.

The opportunity:

You'll be at the centre of the financial administration of a commercial property portfolio, supporting everything from tenant demands and supplier invoices to service charge budgets, reconciliations and client reporting.

Working alongside experienced property management and finance professionals, helping to ensure properties are managed efficiently and financial information is accurate, timely and fully supported.

A key part of the role will be maintaining accurate property and tenant records and ensuring transactions are correctly recorded and allocated. Previous experience with Grosvenor Propman software would be advantageous, but full training will be provided, so we’re looking for someone who is confident learning new systems and enjoys developing their knowledge.

What you will be doing

Every day is different, but your responsibilities will include:

Maintaining accurate property, tenant, lease, supplier and financial records using Grosvenor Propman.
Raising and issuing rent, service charge, insurance, utility and other tenant demands in accordance with lease terms.
Assisting with the preparation and administration of annual service charge budgets.
Supporting year-end service charge reconciliations, including tenant apportionments, expenditure balancing and reconciliation statements.
Reviewing and processing supplier invoices, ensuring expenditure is coded correctly to the relevant property, schedule and service charge category.
Monitoring tenant accounts and supporting credit control, including issuing statements and following up outstanding balances.
Allocating receipts, processing adjustments and investigating account discrepancies.
Maintaining service charge schedules, apportionment records and supporting documentation.
Working closely with property managers to obtain expenditure forecasts, invoice approvals and explanations for budget variances.
Responding professionally to tenant queries relating to rent, service charges, invoices, statements and account balances.
Assisting with bank reconciliations, client reporting and month-end accounting procedures.
Producing financial reports and management information from Propman.
Ensuring financial transactions comply with lease provisions, internal procedures, client requirements and relevant industry guidance.
Maintaining clear audit trails and providing supporting documentation for accountants, auditors and clients.
Supporting the wider property management and accounts teams with general administration as required.

What we are looking for:

We're looking for someone who is accurate, methodical and proactive, ideally with experience in commercial property accounts, property finance or property administration.

You'll bring:

Previous experience in a commercial property accounts, property finance or property administration role.
Practical working knowledge of Grosvenor Propman or confident learning new systems
Demonstrable experience of commercial property service charges, including budgets, expenditure coding, apportionments and year-end reconciliations.
A good understanding of rent demands, lease-related charges, tenant ledgers and supplier invoice processing.
Strong numerical skills and excellent attention to detail.
Good Microsoft Excel skills, including formulas, spreadsheets and data reconciliation.
The ability to interpret relevant financial provisions within commercial leases.
Strong organisational and time management skills, with the ability to manage competing deadlines.
Excellent written and verbal communication skills.
A proactive approach to investigating and resolving discrepancies.
The ability to work independently while contributing effectively to a wider team.

It would also be advantageous to have:

Knowledge of the RICS Professional Standard for Service Charges in Commercial Property.
Experience working for a managing agent, commercial landlord or property investment company.
Familiarity with client accounting requirements and the handling of client funds.
Experience supporting audits and producing property-level financial reports.
A relevant accounting, bookkeeping or property management qualification.

You'll be dependable, commercially aware and approachable, with the confidence to take ownership of queries and see them through to resolution.

Working pattern: Full-time - Monday–Friday 09:00-17:00PM
