Responsible to: Transport & Contract Manager

Starting salary: £31,977 per annum

Working Hours: 35 per week

Contract details: Full time. Monday to Friday. 9:00 am to 5 pm. Hybrid working, some mandatory office days required.

Job Introduction

Are you ready to join a team at London Councils helping deliver essential services for London. We are looking for a motivated person to work as part of the of the Transport Services team administering the new Urgent Care Badge scheme on behalf of boroughs and health care providers.

The Urgent Care Badge (UCB) is a Pan-London scheme that allows for the delivery of urgent care by health care professionals in patients home, whilst minimising the risk for vehicle owners of receiving a Penalty Charge Notice. The scheme has previously been known as the Health Emergency Badge (HEB) scheme.

In this role, you will:

Administer the UCB scheme using the specialised case management system. This will involve considering the on-line applications as well as agreeing the badge renewal in line with the terms and conditions of the scheme.
Communicate in both writing and orally with health care professionals, London boroughs and third party contractors.
Manage the handling of payments and payment queries..
Undertake some manual data entry on the case management system where required.
Assist with report generation and provide additional support to the Transport Services Team.

Main Responsibilities

To administer the UCB scheme, including the evaluating, negotiating, and deciding on applications in line with the Terms and Conditions of the scheme and criteria for approval
To check and validate completed applications for UCBs on the case management system and update information where necessary.
To manually input any data from UCB applications onto the case management system where this has not be completed online.
To draft communications with stakeholders including health care professionals, London boroughs and service providers when required on all aspects of the UCB service.
To handle payments and deal with any payment queries regarding the purchase of UCBs in accordance with London Councils guidelines.
To provide administrative support to the Transport Services Team including opening, distributing and sending mail, document processing, photocopying and scanning, record maintenance, and any similar tasks as required.
To ensure that all documentation is dealt with in a safe and secure manner and in accordance with the various regulations governing such activities, e.g. Data Protection Act 1998, Regulation of Investigatory Powers Act 2000, and any other relevant legislation.

The Ideal Candidate

Someone with:

Good written communication skills, including the ability to construct business letters.
The ability to communicate and interact successfully with a wide range of people, including local authorities and health care professionals.
Good numeracy skills including basic statistics (tables, percentages).
Good organisational skills (prioritising and time management to meet deadlines).
The ability to work unsupervised and to remain motivated and committed.
Experience of dealing successfully with difficult or confrontational situations.
Excellent attention to detail and commitment to producing high quality work.
A good team player and the ability to successfully integrate into a small team at London Councils.
