Join the Team at VBS Ltd

VBS Ltd is a busy growing industrial and commercial roofing and cladding contractor working with clients across the UK. Due to continued expansion, we're looking for an experienced Operations/Office Manager to become an integral part of our business.

This is far more than a traditional administration role.

We're looking for someone who thrives on organisation, enjoys taking ownership, and has the confidence to keep multiple moving parts running smoothly. You'll become the central point of the office, supporting our Directors, coordinating day-to-day operations and ensuring nothing falls through the cracks.

The Role

Working closely with the Directors, you'll be responsible for keeping the office organised, efficient and running seamlessly.

Responsibilities include:

Managing Directors' diaries, emails and daily priorities
Assisting the Estimator with document preparation, tender packs
Supporting the Project Manager with site files, paperwork, and project documentation
Assisting with project administration and contract documentation
Supporting Health & Safety administration where required
Helping the Marketing Manager with document formatting and general admin
Looking after company accreditations, providing evidence to enable completion
Creating and maintaining digital site files and office records
Coordinating communication between estimating, contracts, site teams and accounts.
Data entry and maintaining accurate company records
Organising meetings, appointments and travel arrangements
Creating and improving office systems and procedures.
Ensuring deadlines are met across the business.
Acting as the central point of contact for day-to-day business operations.
Producing and updating spreadsheets, reports and documentation
Keeping on top of daily, weekly and monthly office tasks
Monitoring deadlines and ensuring important tasks are completed on time
Providing general administrative support across the business
Helping identify ways to improve office processes and efficiency
Identifying tasks that need completing before being asked.

We're Looking For Someone Who:

Has previous experience in an Office Manager or Senior Administrator role
Is highly organised with exceptional attention to detail
Can confidently manage multiple priorities simultaneously
Is proactive and able to work using their own initiative
Has excellent communication skills
Is confident dealing with Directors, clients and suppliers
Is highly competent using Microsoft Office (particularly Outlook, Excel and Word)
Enjoys solving problems and keeping everything running efficiently
Can remain calm under pressure
Takes pride in producing accurate, professional work

Desirable Experience

Experience within construction, roofing or engineering would be advantageous but isn't essential. Full training will be provided on our internal systems and procedures.
