Full job description

We are seeking a highly organized, reliable, and efficient Administrative Assistant to support the day-to-day operations of our UK office. The successful candidate will be responsible for a wide range of clerical, administrative, and office support duties, including managing correspondence, maintaining records, scheduling appointments, processing invoices, and assisting different departments as required.

As the role also involves regular business-related driving, the successful candidate must hold a valid full UK driving license with no current penalty points and must be comfortable driving a company vehicle when required.

Key Responsibilities

Answer incoming telephone calls professionally, take accurate messages, and direct calls to the appropriate team members.
Organize, maintain, and update physical and digital files, records, and confidential documentation.
Perform accurate and timely data entry using Microsoft Office, Google Workspace, QuickBooks, and other relevant systems.
Manage calendars, schedule appointments, coordinate meetings, and send reminders to relevant team members.
Prepare professional correspondence, reports, spreadsheets, presentations, and other business documents.
Assist with invoicing, billing, payment records, and basic financial administration using QuickBooks.
Receive, sort, and distribute incoming and outgoing mail.
Coordinate courier services, deliveries, and document collection arrangements.
Provide general administrative and clerical support to different departments as required.
Monitor office supplies and assist with placing orders when necessary.
Maintain a clean, professional, tidy, and well-organized office environment.
Handle sensitive and confidential information with professionalism and discretion.
Drive the company vehicle for authorized business purposes, including office errands, document collection and delivery, and other work-related assignments.
Ensure that the company vehicle is used responsibly and report any maintenance, safety, or operational issues immediately.
Carry out any other reasonable administrative duties assigned by management.

Required Skills and Experience

Previous experience in an administrative, clerical, office support, or similar role is highly desirable.
Strong organizational and time-management skills.
Ability to priorities tasks and manage multiple responsibilities effectively.
Proficiency in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
Working knowledge of Google Workspace, including Gmail, Google Docs, Google Sheets, Google Drive, and Google Calendar.
Familiarity with QuickBooks for invoicing, financial transactions, and record-keeping.
Fast and accurate typing and data-entry skills.
Excellent verbal and written communication skills.
Professional telephone manner and strong customer service skills.
High level of accuracy and attention to detail.
Ability to work independently as well as collaboratively within a team.
Good knowledge of general office procedures and administrative best practices.
Ability to maintain confidentiality and handle sensitive information appropriately.
Flexible, dependable, and willing to support different departments when needed.

Driving Requirements

A valid full UK driving license with no current penalty points is essential.
A clean and responsible driving record.
Willingness and confidence to drive a company vehicle regularly for business-related purposes.
Eligibility to be covered under the company’s motor insurance policy.
The successful candidate may be required to provide driving license information for verification, subject to the company’s recruitment and insurance procedures.

Preferred Qualifications

Qualification in Business Administration, Office Management, Accounting, or a related field.
Previous experience working in a professional office environment.
Experience using Quick Books or similar accounting software.
Basic understanding of invoicing, billing, and financial record-keeping.

Pay: £20,000.00-£26,000.00 per year
