Administrative Assistant – FULL TIME

Starting from £13.15 per hour + bonus potential

THE OPPORTUNITY

We are looking for a highly organised and proactive Administrative Assistant to support the day-to-day operations of our CoVault & LockUp business.

This is a varied and fast-paced role where you'll work closely with the Covault & LockUp Manager while providing administrative support to the wider team. You'll play a key part in ensuring our sites operate efficiently, our customers receive an excellent service, and our administrative processes run smoothly.

KEY RESPONSIBILITIES

· Responsible for the timely Invoicing of all tenants in line with the company payment schedule

· Act as the first point of contact for incoming calls, emails, enquiries, and customer queries, providing a professional and timely response or referring them to the appropriate sales team member where necessary.

· Maintain accurate records of property availability across the Covault & LockUp estate.

· Manage any customer relations issues, ensuring any complaints are handled quickly and effectively, to ensure there is no negative impact to the brand/business.

· Manage tenant debt across the portfolio in line with company processes and procedures.

· Manage business rates administration, ensuring tenants are correctly allocated to each location and records are updated following move-ins and move-outs.

· Coordinate and administer rent reviews across the portfolio.

· Reconcile daily bank transactions and process ad hoc payments.

· Prepare new licence agreements and maintain accurate, compliant records of all tenancy documentation.

· Process customer refunds and manage security deposit records.

· Track estate maintenance and development issues, ensuring actions are followed through and providing weekly progress updates to management.

· Provide general administrative support to the CoVault & LockUp team as required.

· Identify and implement improvements to customer processes and communications, building positive customer relationships and enhancing operational efficiency.

The ability to prioritise competing workloads in a fast-paced environment.

Confidence using Microsoft Office and other administrative systems.
Strong problem-solving skills and a resourceful mindset.
The ability to work collaboratively as part of a team while taking ownership of your responsibilities.
While not essential, a full UK driving licence would be beneficial due to occasional travel between sites.

WORKING HOURS

Monday to Friday: 9:00am to 5:00pm

Occasional weekend working may be required

SALARY

Our Administrative Assistant can expect a basic wage starting at £13.15 per hour with potential to increase your salary annually. An annual bonus is also available based on the completion of agreed objectives
