Full job description

Role Purpose

The Fundraising Administrator provides essential administrative and supporter care support to the Fundraising Team, helping to ensure fundraising activity runs smoothly, accurately and professionally.

This is an entry-level role, ideal for someone looking to develop experience in fundraising administration within a hospice environment. The postholder will support the processing of donations, maintain accurate records, assist with fundraising campaigns and events, and provide a positive experience for supporters, volunteers and members of the public.

Key Responsibilities

Fundraising Administration

Accurately process donations, regular gifts and fundraising income, ensuring all information is correctly recorded on the fundraising database.

Record and bank cash, cheques and card payments in line with hospice procedures.

Support the administration of online donations made through platforms such as Facebook, JustGiving and Stripe.

Assist with Gift Aid administration, ensuring information is recorded accurately and in line with HMRC requirements.

Maintain accurate and up-to-date records on the fundraising CRM system (Harlequin or successor system).

Maintain organised electronic and paper filing systems for fundraising records.

Supporter Care and Communication

Respond in a professional and friendly manner to supporter enquiries by phone, email or in person.

Support excellent donor care by assisting with the timely thanking and acknowledgement of donations and participation.

Liaise with supporters, volunteers and support groups to provide administrative assistance for fundraising activities.

Ensure all communications reflect the values, professionalism and reputation of St Kentigern Hospice.

Campaign and Event Support

Provide administrative support for fundraising campaigns and events, including preparation of materials and follow-up activity.

Provide hands-on support at selected fundraising events, as required.

Assist the Fundraising Team with routine tasks to ensure campaigns and events run efficiently

General Administration and Team Support

Undertake general administrative duties including opening post, photocopying, data entry, ordering stationery and taking messages.

Work closely with the Fundraising Manager and Fundraising Team to support the delivery of fundraising activity.

Contribute positively to team meetings and support colleagues when required.

Work collaboratively with staff across the hospice to support shared objectives.

Compliance and Professional Standards

Handle all data, financial information and supporter details confidentially and in line with GDPR and hospice policies.

Follow all hospice procedures relating to cash handling, data protection and safeguarding.

Act always in a professional manner and protect the reputation of St Kentigern Hospice.

Other

Attend relevant staff meetings, training sessions and supervisions.

Undertake mandatory training as required.

Carry out other reasonable administrative duties as requested by the Fundraising Manager.

Person Specification

Education & Qualifications

Essential

Good general education including English and Maths (GCSE or equivalent)

Experience in an administrative or office-based role (paid or voluntary)

Competent in Microsoft Office, including Word, Outlook and Excel

Strong numerical skills and ability to process financial information accurately

Ability to handle cash, cheques and card payments accurately and securely

Ability to maintain accurate records and follow data protection procedures

Friendly and professional communication skills, both written and verbal

Commitment to providing excellent supporter and customer care

Good organisational skills with the ability to manage routine tasks and deadlines

Ability to work effectively as part of a small team

Understanding of the need for confidentiality and data protection

Willingness to support fundraising events and activities when required

Attention to detail, willingness to learn, positive and enthusiastic attitude

Desirable

Further education qualification or relevant training

Experience in a fundraising, charity, healthcare or public-facing environment

Experience using databases or CRM systems (e.g. Harlequin)

Experience processing donations, invoices or financial records

Previous experience handling cash or banking

Experience managing supporter records or running mail merges

Experience responding to public enquiries by phone, email or in person

Experience of donor thanking, supporter stewardship or customer service

Experience supporting multiple projects or busy teams

Experience supporting colleagues across different departments

Experience working with sensitive or confidential information

Experience providing event or campaign support

Confidence dealing with members of the public

Ability to communicate in Welsh (spoken and/or written)
