Job Title

Business Support Coordinator

The Business Support Coordinator provides administrative and operational support to ensure the smooth running of the department. The role works closely with the Director, acting as a key point of contact, managing communications, and ensuring priorities are coordinated effectively. The position is responsible for delivering high-quality administrative support while maintaining confidentiality and professionalism.

Key Responsibilities

Provide comprehensive administrative support to the team.
Act as a primary point of contact for the Director, managing day-to-day communications with internal and external stakeholders.
Manage the Director's inbox, prioritising emails, responding where appropriate, flagging urgent matters, and ensuring timely follow-up on actions.
Coordinate the Director's diary, meetings, appointments, and travel arrangements where required.
Prepare agendas, meeting packs, presentations, and take meeting minutes when required.
Draft correspondence, reports, and other documentation on behalf of the Director and wider team.
Maintain accurate electronic and paper filing systems.
Monitor shared inboxes and respond to enquiries or direct them appropriately.
Process documentation, forms, and requests accurately and within agreed timescales.
Coordinate projects and follow up on outstanding actions to ensure deadlines are met.
Liaise with internal departments, suppliers, and external stakeholders in a professional and confidential manner.
Maintain databases and ensure information is current and accurate.
Order office supplies and support general office management activities.
Assist with onboarding new employees and maintaining departmental records.
Handle confidential and sensitive information with discretion at all times.
Ensure compliance with company policies, procedures, and data protection requirements.
Carry out any other reasonable duties appropriate to the role.

Essential

Previous experience in an administrative, coordinator, or executive support role.
Experience managing senior stakeholder communications or executive inboxes.
Excellent organisational and time management skills.
Strong written and verbal communication skills.
High level of accuracy and attention to detail.
Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
Ability to prioritise competing demands and work under pressure.
Professional, diplomatic, and customer-focused approach.
Ability to work independently while maintaining excellent working relationships.

Pay: £25,000.00-£27,000.00 per year
