As a Volunteer Administrative Assistant, you will gain hands-on experience across multiple business departments, including Administration, Human Resources (HR), Finance, Sales, Customer Service, Marketing, and Office Management. You will receive training, ongoing support, and the opportunity to develop valuable workplace skills that are highly sought after by employers.
Please note: This is a voluntary position and is unpaid. However, reasonable pre-approved travel and other authorised expenses will be reimbursed in accordance with our Volunteer Expenses Policy.
Key Responsibilities
- Provide day-to-day administrative support to the office team.
- Answer telephone calls professionally and respond to customer enquiries.
- Manage incoming and outgoing emails and correspondence.
- Maintain accurate digital and paper filing systems.
- Perform data entry and update company databases with a high level of accuracy.
- Assist with scheduling appointments, meetings, and staff rotas.
- Prepare letters, reports, spreadsheets, presentations, and other business documents.
- Support invoicing, billing, and administrative finance tasks using QuickBooks.
- Assist with recruitment administration, onboarding paperwork, and HR records.
- Support the sales and customer service teams with administrative duties.
- Maintain confidentiality when handling company and customer information.
- Carry out general office and clerical duties as required.
Skills & Experience
We are looking for someone who is:
- Friendly, professional, and reliable.
- Well organised with excellent attention to detail.
- Confident using Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Familiar with Google Workspace (Gmail, Google Drive, Google Calendar).
- Able to communicate clearly, both verbally and in writing.
- Comfortable working independently and as part of a team.
- Eager to learn and develop new skills.
- Experience with QuickBooks is desirable but not essential, as training will be provided.
- Previous office or administrative experience is beneficial but not required.
