Full job description

Purpose of the role

We are looking for a proactive and organised Team Coordinator to support Arup's Technical Services (TSS) team. This role is key to ensuring the smooth day-to-day running of the team by providing high-quality administrative and coordination support across projects, business operations and team activities. You'll work closely with colleagues across the business, helping to keep processes running efficiently while contributing to a positive and collaborative team environment.

What You'll Do

Provide administrative support across projects and team activities
Coordinate meetings, manage diaries and arrange team events
Prepare, format and proofread documents, reports and presentations
Take meeting notes and ensure actions are captured and followed up
Support project administration and assist with business operations activities
Help coordinate onboarding activities and wider team administration
Assist with bids, proposals and other business development activities
Work collaboratively with stakeholders across the business to support successful project delivery
Maintain accurate records and handle confidential information with discretion
Support the wider Technical Services team with day-to-day coordination requirements

The Skills you'll need

Previous experience in an administration, team coordination, office support or receptionist role
Strong organisational skills with the ability to manage multiple priorities
Excellent written and verbal communication skills
Strong attention to detail and ability to produce high-quality documentation
Confident user of Microsoft Office, including Outlook, Word, Excel and PowerPoint
Ability to work independently while also collaborating effectively with others
Proactive, flexible and solutions-focused approach
Comfortable working in a fast-paced professional environment
Ability to handle sensitive and confidential information appropriately
Experience supporting professional services, engineering or technical teams would be beneficial but is not essential
