Full job description

Our Third Party Administration (TPA) department is a dynamic administration team with a varied portfolio of clients. The team plays a key role in delivering a market-leading service to clients and members across Defined Benefit (DB), Defined Contribution (DC) and CARE pension arrangements.

An exciting opportunity is available to join this department as a Personal Assistant within the Data Journey team, based in our Glasgow office.

What will the role involve?

This role supports the TPA Executive Team and the wider TPA Business Unit by providing high-quality executive support, coordination and operational assistance.

Combining proactive executive support, stakeholder management and operational coordination, the role plays a key part in enabling the TPA Executive Team to operate effectively. It is integral to keeping priorities organised, supporting strategic initiatives and ensuring the smooth delivery of business objectives across the Business Unit.

Key responsibilities

Coordinating meetings, including scheduling, preparing agendas and distributing meeting materials.
Taking minutes where required and tracking actions through to completion.
Maintaining forward plans, key programme milestones and OKRs.
Managing and updating the TPA Executive Team channel, ensuring content remains accurate, relevant and up to date.
Organising information and documentation so it is easily accessible and user-friendly.
Proactively managing diaries, arranging meetings and resolving scheduling conflicts.
Coordinating travel and accommodation arrangements, alongside supporting administrative tasks such as expenses, time recording and hospitality register management.
Consolidating monthly KPIs from across the six TPA functions to support Executive Team oversight.
Collaborating with colleagues across the Business Unit and wider firm to ensure effective communication and coordination.
Acting as a brand champion, ensuring all TPA documentation aligns with Hymans Robertson's brand and house style guidelines.
Producing high-quality presentations and reports and presenting information where appropriate.

What’s required to succeed in this role?

Experience supporting senior stakeholders in a fast-paced environment, with strong diary, inbox and workload management skills.
Excellent organisational and prioritisation skills, with the ability to manage multiple tasks and competing deadlines effectively.
Strong communication and relationship-building skills, with the confidence to work with stakeholders at all levels of the business.
Proficiency in Microsoft Office and collaboration tools, with experience of systems such as SharePoint, Dynamics or similar being advantageous.
Ability to produce accurate reports, presentations and professional communications to a high standard.
A proactive, adaptable and solutions-focused approach, combined with excellent attention to detail.
Confidence working independently and collaboratively, while handling confidential information with discretion and integrity.
GCSE / Scottish Standard (or equivalent) in Maths and English at Grade B or above, or equivalent relevant experience.
