Rental Agent Manager – Duncan Self Drive

Location: Melksham, Wiltshire
Hours: Monday to Friday, 8:00am – 5:00pm
Additional Hours: Every second Saturday, 8:00am – 11:00am (Paid as Overtime)

Salary: TBC (dependant on experience)

Duncan Self Drive is one of the South West's leading independent vehicle rental companies, providing a modern fleet of cars, vans, minibuses and specialist vehicles to both private and commercial customers.

We are committed to delivering exceptional customer service, maintaining a high-quality fleet, and building long-lasting relationships with our customers. Due to continued growth, we are looking to recruit an enthusiastic, organised and driven Rental Agent Manager to lead our front-of-house rental operation.

The Role

This is a hands-on management position responsible for overseeing the day-to-day operation of our rental office while ensuring the highest standards of customer service, fleet utilisation and operational efficiency.

The successful candidate will lead by example, managing customer enquiries, supervising rental staff, coordinating vehicle availability and ensuring all rental procedures are completed accurately and professionally.

This role is ideal for someone with excellent leadership skills who enjoys working in a busy, customer-focused environment and has a passion for delivering first-class service.

Key Responsibilities

Customer Service & Sales

Lead the front office team in delivering outstanding customer service.
Handle customer enquiries by telephone, email and face-to-face.
Maximise vehicle utilisation and rental revenue.
Build and maintain strong relationships with private and commercial customers.
Resolve customer queries and complaints professionally and efficiently.
Promote additional rental products and services where appropriate.

Branch Management

Oversee the daily running of the rental office.
Supervise and support Rental Agents.
Ensure all rental agreements are accurately completed and compliant.
Monitor vehicle availability and fleet utilisation.
Coordinate vehicle collections, returns and exchanges.
Ensure all paperwork and digital records are maintained to a high standard.

Fleet Coordination

Work closely with the garage to schedule vehicle servicing, MOTs and repairs.
Ensure vehicles are prepared, cleaned and available for hire.
Monitor vehicle damage reports and repair schedules.
Help maintain maximum fleet availability while ensuring compliance and safety standards.

Compliance

Ensure all rental procedures comply with company policies and legal requirements.
Maintain accurate customer records.
Assist with insurance claims and vehicle damage administration.
Ensure GDPR and company compliance standards are met.

Team Leadership

Lead, motivate and support the rental office team.
Assist with staff training and development.
Conduct performance reviews and provide coaching where required.
Promote a positive, professional and customer-focused working culture.

About You

We're looking for someone who:

Has previous experience within the vehicle rental, automotive or customer service industry however, not essential.
Has supervisory or management experience.
Is highly organised and able to prioritise workloads effectively.
Has excellent communication and interpersonal skills.
Demonstrates strong problem-solving abilities.
Is confident using computer systems and Microsoft Office.
Can work calmly under pressure.
Holds a full UK driving licence.

Desirable Experience

Vehicle rental industry experience.
Fleet management knowledge.
Team leadership experience.
Commercial awareness with the ability to maximise revenue.
Knowledge of rental agreements and vehicle damage procedures.
