Full job description

Job Summary

We are seeking a highly capable, compassionate and proactive Patient Relationship Team Coordinator to join Osteopathic Consultancy.

This is a senior administrative and patient-facing role, providing an important link between our patients, osteopaths, administrative team and clinic directors.

You will help ensure that every patient receives a warm, professional and well-organised experience, from their first enquiry through to the completion of their treatment journey. You will also coordinate the day-to-day administrative workload, support other members of the Patient Relationship Team and help ensure that appointments, payments, communications and essential tasks are completed accurately and on time.

This is not a passive reception position. We are looking for someone who takes ownership, notices what needs to be done and can work confidently without requiring constant supervision.

Working hours

This is a permanent, part-time position of 25 hours per weekwith a 30-minute break on each full day.

Monday: 8.30am–7.00pm,
Wednesday: 8.30am–7.00pm,
Friday: 8.30am–1.30pm

Applicants must be able to work all of the advertised hours reliably.

Responsibilities

Act as a key point of contact for patients, responding to enquiries with warmth, compassion and professionalism
Welcome patients and help create a calm, organised and reassuring clinic environment
Manage telephone calls, emails, appointments and patient communications
Support patients through their journey with the clinic, including booking, rebooking and follow-up communication
Make outgoing calls to patients regarding appointments, treatment plans and outstanding actions
Take and accurately record patient payments
Complete end-of-day payment checks and closing procedures
Coordinate the daily administrative workload and ensure important tasks are not missed
Monitor appointment books, patient communications and outstanding administrative actions
Communicate clearly with osteopaths and other team members to ensure patient needs are understood and addressed
Maintain accurate patient records and documentation
Assist with patient registration and onboarding processes
Support, guide and help train other members of the Patient Relationship Team
Identify administrative problems and take appropriate action to resolve them
Maintain excellent standards across reception and the wider clinic
Support the clinic directors with operational and administrative tasks
Handle sensitive or difficult situations with empathy, professionalism and discretion
Maintain patient confidentiality and comply with UK data-protection requirements
Assist with opening and closing the clinic
Provide occasional holiday or sickness cover where possible

Requirements

We are looking for someone who:

Has strong experience in administration, reception, customer service or a similarly responsible role
Is highly organised and able to manage several priorities at once
Has an excellent and confident telephone manner
Communicates clearly and professionally, both verbally and in writing
Is compassionate and genuinely enjoys helping people
Can work independently and use their own initiative
Naturally takes responsibility rather than waiting to be told every small task
Notices problems, follows them through and ensures they are properly resolved
Is calm, reliable and consistent in a busy environment
Has strong attention to detail
Is comfortable making outgoing telephone calls
Is confident using computers and learning new software systems
Can handle sensitive information with discretion and professionalism
Is able to support and positively influence other members of the team
Is looking for a stable, long-term position within a growing clinic

Previous healthcare experience would be beneficial but is not essential. Finding someone with the right attitude, ability, judgement and commitment is most important to us.

About you

You may be particularly well suited to this role if you enjoy bringing order to a busy environment, helping patients feel looked after and ensuring that a team maintains consistently high standards.

You should be comfortable taking ownership of your responsibilities, making sensible decisions and becoming a dependable and valued member of the clinic.
