Senior Administrator

Part-Time
Salary: £30,000 – £34,000 full-time equivalent, depending on experience
(£21,429 – £24,286 actual for 25 hours per week, hours to be confirmed)

20–25 hours per week, worked flexibly across 4–5 days to suit you

An opportunity has arisen for an experienced Senior Administrator to join our friendly and highly successful wealth management practice based in Solihull.

A genuine part-time role – and a permanent one

We want to be clear about this from the outset, because it matters to us and it should matter to you.

This is a permanent part-time position. We invest properly in training our people on our systems, our providers and our processes, and we are looking for someone who wants to build a long-term career with us on reduced hours, not someone who is looking for full-time work and would move on at the first opportunity.

The Role

Working as part of our close-knit team, you will play a key role in supporting our advisers, ensuring that all tasks are processed accurately and efficiently throughout the advice journey. You will receive full training on our systems and processes and will become an important part of the day-to-day running of the practice.

Your responsibilities will include:

Managing client workflows, tasks and case tracking using the Plannr CRM system.
Preparing and issuing Letters of Authority, and obtaining existing plan information from providers.
Submitting new business and progressing applications, transfers and switches through to completion.
Obtaining valuations, illustrations and policy information from providers and platforms.
Preparing client review packs and meeting documentation.
Reviewing suitability reports for accuracy and completeness before they are issued, ensuring the content properly reflects the advice given and the client's circumstances.
Gathering and inputting client information into financial planning, cashflow and tax calculation software.
Liaising with product providers, platforms, clients and professional connections such as accountants and solicitors.
Monitoring cases and chasing outstanding items so that nothing sits still.
Maintaining accurate client records and compliance files to a high standard.
Providing day-to-day administrative support to advisers.

About You

You will be highly organised, proactive and comfortable working in a busy, professional environment where accuracy really counts.

Essential:

Previous experience within Financial Services, ideally within an IFA or wealth management practice, or with a platform, provider or life office.
Excellent attention to detail and accuracy.
Strong organisational and time management skills, with the ability to prioritise your own workload.
Excellent written and verbal communication skills.
Confidence using IT systems and learning new technology.
A positive, flexible and professional attitude, and the ability to work both independently and as part of a team.

Preferred:

Experience of pensions, investment and platform administration.
Familiarity with adviser back-office or CRM systems such as Plannr, Intelligent Office, Curo, Salesforce or similar.
Experience of working with platforms such as Transact, Quilter, Aviva, Nucleus, abrdn Wrap or comparable.
Progress towards CII qualifications (for example R01 or CF1) welcomed, though not a requirement.
