Job Title: Wedding & Event Co-Ordinator

Location: Ashridge House, Berkhamsted, Hertfordshire, HP4 1NS

Reports to: Event Manager

Working hours: Monday-Friday weekends required as needed to deliver your events/showcases.

The Opportunity

This is an exciting opportunity to support our rapidly growing events business as a Wedding & Event Co-Ordinator. We are looking for an ambitious, highly organised person with excellent people skills to join our dynamic Events team. You will be responsible for bringing each couples dream to life by delivering every detail of their wedding. You will also deliver excellent client events, from business conferences to private functions, working across both B2C and B2B. In the role you will work closely with clients, as well as with our Food and Beverage teams, to ensure a consistently flawless client experience and revenue growth.

Responsibilities

- To work with clients to co-ordinate and deliver their onsite events; agreeing requirements, setting expectations and providing effective communication to ensure an excellent event.

- To inform internal teams, clearly and proactively, of event requirements and client preferences; working together to ensure a successful outcome for all parties.

- To keep the CRM database up to date with client information and correspondence so you and others can use it for business intelligence and client management.

- To build successful, professional relationships with clients to understand their particular needs and encourage business development.

- To respond to residential enquiries and liaise with the appropriate internal teams.

- Assist the Sales team by meeting potential clients, showcasing Ashridge and booking repeat business.

- Understand the needs and expectations of each individual client by building a friendly and respectful working relationship.

- Maintain complete, accurate and up-to-date filing of all correspondence.

- Understand the history of Ashridge and when required, give short tours of the House to clients.

- Prepare and deliver accurate invoices, sending them to clients within a timely manner prior to their events. Following up to ensure payment and escalating when appropriate.

- To expertly use our project and financial management systems (Opera), monitor financial data and debt management.

Key Attributes

Essential

- 3 years of e xperience and passion for delivering excellent client focus and service in a similar venue.

- Organised, detail orientated, able to multi-task and meet deadlines in a pressurized environment.

- A vibrant person with a positive outlook, full of initiative and proactivity, someone who embraces change and loves building relationships.

- A real team player who sees no boundaries, strives to understand pressures and priorities of other teams and makes working together fun.

- Willing to go above and beyond, working extra hours when required.

- Technically confident, a quick learner and with strong computer skills e.g. Microsoft packages, Opera etc.

- An excellent communicator both written and verbal, a good listener and clearly credible with clients and faculty.

- Able to negotiate and influence at all levels e.g. to agree responsibilities within a team.

Desirable

- Experience of working with Events and/or Food & Beverage teams.

- Experience with Opera CRM.

- Experience with Hubspot .
- Commercially aware understanding contracts, pricing, cost implications of decisions etc.
