Full job description

Overview

Due to the planned retirement of our existing officer an exciting opportunity has arisen to join the small, close knit team at the Harborne Parish Lands Charity. approach will inspire continuous improvement and promote a people-first environment. We are recruiting an Information Policy and People Manager to maintain, manage, execute and develop the charity’s Information and Human Resource systems, policies and procedures in order to keep the charity both legally and regulatory compliant and at the leading edge of policy and practice.

Duties

As part of the senior management team you will:

· Act as the organisation’s super user for the Chics X housing management system

· Act as the organisation’s Data Controller ensuring all electronic and paper systems are stored and managed in line with ICO best practice and GDPR

· Maintain and audit the organisation’s electronic and paper records

· Ensure the timely deletion and destruction of expired records

· Respond to subject access and freedom of information requests

· Maintain the organisation’s databases, such as the approved applicants waiting list, etc.

· Maintain and develop the organisation’s information asset register

· Complete statutory and regulatory data returns including the Statistical Data Return for the Regulator for Social Housing and the CORE returns

· Act as the charity’s Nrosh+ administrator

· Design and manage large information capture exercises such as resident feedback reports

· Work with other senior managers to ensure data driven decision making and provide custom or bespoke reports as required

· Ensure accurate data is available for presentation to the organisation’s trustees

· Set up and manage the organisation’s information dashboard

· Work with partners across the sector to keep up-to-date with trends and developments within statutory and regulatory housing and charity policy

· Work with partners across the sector to influence housing policy

· Ensure the organisation maintains compliance with statutory and regulatory developments

· Maintain and develop the organisation’s policy suite and to ensure standard operating procedures are compliant, and to promote best practice

· Where appropriate attend board meetings to explain and contextualise policy developments or sector intelligence

· Where appropriate work with the wider sector to research and provide evidence of what works within our service delivery and what could be improved

· Work with residents to build a wider understanding of housing policy within our resident population

· Maintain the organisation’s holiday and sickness reporting systems

· Maintain staff records

· Work with department heads and the chief executive to continuously develop and deliver the organisation’s appraisal processes

· Work with the chief executive and department heads to identify training needs across the team and source the appropriate training

· Support the team through training

· Design and deliver in-house training where appropriate

· Work with the Head of Operations and chief executive to develop a class leading suite of employment policies and benefits

· Develop and manage onboarding and exit processes including contract preparation and induction planning

· Conduct grievance, whistleblowing or disciplinary investigations and work with the rest of the senior management team to take supportive or corrective actions.
