Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of our office environment. Your energetic approach and attention to detail will help foster a productive workplace, support team collaboration, and enhance overall office productivity. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a thriving organization.

Duties

Manage daily office operations, including greeting visitors, handling incoming calls with professional phone etiquette, and directing inquiries appropriately
Maintain organized records through accurate data entry and clerical tasks using Microsoft Office, Google Workspace, and QuickBooks software
Coordinate schedules, appointments, and meetings to ensure seamless communication across teams
Oversee supply inventory, order office essentials, and ensure the workspace remains tidy and well-stocked
Assist with financial record keeping by managing invoicing, expense reports, and basic bookkeeping tasks in QuickBooks
Support administrative projects such as preparing reports, drafting correspondence, and updating databases
Facilitate effective communication by managing email correspondence and distributing information efficiently

Qualifications

Proven office experience with strong organizational skills and attention to detail
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and basic data entry techniques
Prior administrative experience demonstrating excellent organizational abilities and multitasking capabilities
Strong phone etiquette with the ability to handle inquiries professionally and courteously
Familiarity with QuickBooks accounting software is preferred but not required
Excellent typing skills for efficient document processing and data management
Demonstrated clerical experience supporting busy office environments
