Administrative Assistant - Accounts, Membership and Office Coordinator

Location: iCon Innovation Centre, Eastern Way, Daventry, Northamptonshire

Working Hours: Part time 27.5 hours per week - 9.30am to 3.30pm, includes a ½ hour un-paid lunch break (Flexibility in hours may be possible, which may include a 4-day week).

Salary: £20,000 to £23,500 per annum based on 27.5 hours per week (Equivalent £27,500-£32,000 on full time hours) depending on experience + benefits including performance-related annual bonus of up to 10% p.a. subject to bonus rules.

Additional NEST pension scheme and private medical cover after completing a 3-month probationary period.

We are looking for a highly organised, talented and adaptable individual with excellent communication and written skills to join our small team and quickly take ownership of some important functions of the business.

With more than 600 members globally, our campaigns Two Sides www.twosides.info and Love Paper www.lovepaper.org operate throughout Europe, North America, South America.

About the Role

Reporting to the UK Managing Director, this is a unique opportunity with to work independently, managing member invoicing, needs and communications, and take ownership of specific projects, including our anti-greenwash campaign that tackles misleading statements about paper along with the day-to-day operations of the office.

More specifically, the role will;

Manage our 600+ member supporters, invoicing membership renewals through Xero, an accountancy management system, and provide value to our members through our communications.
Become involved in some general aspects of the financial accounts of the business, invoicing and banking.
Research, identify and engage new potential members, supporting the Partnership manager on growing membership.
Support development of the new customer management portal, (CRM) to effectively manage our growing database of contacts and customers.
Research and writing letters to better inform companies making misleading statements on the sustainability of paper and paper packaging
Manage the day-to-day administration and running of the office.

About You

Minimum of 3 years’ practical business experience in complimentary roles
Ideally educated to degree level
Excellent written skills with a meticulous eye for detail
Passionate for self-learning, for your own personal development and knowledge
Highly organised, self-motivated & punctual
Excellent telephone manner
Experience with Xero and invoicing, or other accounting software, and using CRM systems is desirable
Excellent knowledge and competency with Microsoft Office programmes, e.g. excel

Further Details

Salary: : £20,000 to £23,500 per annum based on 27.5 hours per week (Equivalent £27,500-£32,000 on full time hours) depending on experience.

Part time role: 27.5 hours per week - 9.30am to 3.30pm includes a ½ hour un-paid lunch break (Flexibility in hours is possible, which may include a 4-day week).

Pension: Employees are enrolled automatically in NEST, the workplace pension scheme set up by the government, along with private medical cover after completing their 3-month probationary period.

Holiday: 20 days + 8 days statutory holiday. The office is closed between Christmas and New Years for 3 days which does not form part of the holiday allowance.

Bonus scheme: A performance related bonus scheme offers up to 10% of salary and is awarded annually, commencing from 1st January 2027, based on KPIs being met.

Place of work: This will be at the company’s offices based in the iCon Centre in Daventry – a newly-built, shared office building with break-out areas, meeting rooms, a 250-seat auditorium and free underground parking. The applicant will need to ensure that travel arrangements allow the fulfilling of the expected hours of work
