Project & Compliance Coordinator (Office-Based)

Hours: Monday to Friday, 9:00am – 4:30pm with a 30-minute unpaid lunch break

We are a growing Fire and Security company based in Carnforth, providing services across the North West. With a supportive office team and long-standing customer base, we pride ourselves on delivering a high-quality service and building strong client relationships.
Due to continued growth, we are seeking an experienced Project & Compliance Coordinator to support our operations team. This is a fully office-based role with no option for remote working.
Role Overview
The Project & Compliance Coordinator will be the main office contact for the company and will play a key role in keeping our day-to-day operations organised and running efficiently.
This is a busy, fast-paced role where priorities can change quickly. You will be coordinating multiple engineers, projects and customer requirements at the same time, often with several competing deadlines. We therefore need someone who is confident prioritising their own workload, making decisions and keeping track of multiple tasks without needing constant direction.
The successful candidate will have previous project management or project coordination experience and be comfortable managing projects from initial instruction through to completion. You will need to communicate confidently with customers, engineers and suppliers, ensuring deadlines are met and any issues or changes are dealt with promptly.
You will also be required to learn our internal systems, processes and industry requirements. The ability to pick up new software, systems and procedures quickly is essential.
The role includes scheduling and coordinating engineers, managing project and job administration, maintaining compliance and ISO 9001-related processes, monitoring outstanding works and assisting with the review of completed jobs and preparation of invoicing information.
This is a varied, hands-on position offering responsibility and autonomy within a growing business.
Key Responsibilities
- Manage and coordinate multiple projects and jobs simultaneously, ensuring customer deadlines and internal requirements are met
- Schedule and coordinate engineers for site visits, installations and servicing
- Prioritise workloads where there are multiple competing customer and operational deadlines
- Monitor jobs and projects from initial instruction through to completion, proactively following up on outstanding actions
- Liaise with customers, engineers and suppliers to coordinate works, manage logistics and provide progress updates
- Respond to changing priorities and resolve day-to-day operational issues
- Maintain accurate project records, timelines, compliance records and internal documentation
- Stock control and supplier coordination
- Maintain company quality and compliance processes, including ISO 9001-related documentation
- Review completed works and documentation, identifying missing information or actions required before jobs can be closed
- Preparing completed works for invoicing
- Learn and confidently use the company's job management, scheduling and compliance system Uptick
Requirements
Essential:
- Previous experience in project management
- Proven experience working in a busy, fast-paced environment with multiple competing priorities and deadlines
- Strong organisational skills and the ability to manage several projects or workstreams simultaneously
- Ability to prioritise your own workload and work proactively without needing tasks to be continually assigned
- Confident dealing with customers and managing expectations around deadlines and project progress
- Able to learn new systems, software and business processes quickly
- Strong communication skills, both written and verbal
- Good working knowledge of Microsoft Office 365
- High level of attention to detail and accuracy
- Reliable, adaptable and comfortable working as part of a small team
Desirable:
- Project coordination or management experience within construction, electrical, fire & security, facilities management or another service/engineering-based industry
- Experience using scheduling, project management or job management software
- Experience working with ISO 9001 or other quality/compliance management systems

You should be comfortable working in an environment where a planned day can change due to urgent customer requests, engineer availability or changing project requirements. You will need to be able to re-prioritise quickly, keep customers informed and make sure important deadlines do not get missed.
We are looking for someone who takes ownership of their workload, follows tasks through to completion and is confident identifying what needs to be done next rather than waiting to be instructed.
