Full job description

Job Summary

We are seeking a professional, organised and approachable Medical Receptionist to join our busy and supportive primary care team.

As a Medical Receptionist, you will be one of the first points of contact for our patients and will play an important role in providing a welcoming, efficient and compassionate service. You will support patients both face-to-face and over the telephone, work closely with GPs and other healthcare professionals, and help ensure the smooth day-to-day running of the practice.

The post will be primarily based across our Adswood and Cale Green surgeries. However, as we operate across multiple sites, the successful candidate will be expected to work flexibly across any of our practice locations when required, depending on the operational needs of the business.

Previous experience in a GP practice or healthcare environment would be advantageous; however, we are particularly interested in candidates who have excellent customer service, communication and organisational skills and who are comfortable working in a busy environment.

Main Purpose of the Role

To provide an effective and professional reception service to patients and act as an important point of communication between patients, GPs, clinicians and other members of the practice team.

Reports to: Reception Supervisors
Responsible to: Practice Manager and GPs

Key Responsibilities

Your duties will include:

Providing a professional, friendly and helpful reception service to patients, both face-to-face and by telephone.
Answering incoming telephone calls promptly and dealing with patient enquiries appropriately.
Signposting patients to the most appropriate service or member of the healthcare team.
Supporting patients to access our total triage service through the NHS App, practice website and Accurx Reception Flow.
Assisting patients who are unable to complete online forms by submitting information on their behalf where appropriate.
Booking appointments following clinical triage, including urgent and routine appointments.
Booking nurse, blood test and other appropriate clinical appointments.
Accurately recording messages and ensuring they are passed to the appropriate clinician or member of staff.
Checking and updating patient contact information and records in accordance with practice procedures.
Processing requests for home visits in line with practice guidelines.
Registering new and temporary patients and ensuring the appropriate documentation is completed.
Dealing with patient queries professionally, sensitively and confidentially.
Processing repeat prescription requests and signposting patients to the NHS App and online services where appropriate.
Supporting the collection and recording of payments relating to non-NHS services and correspondence.
Maintaining accurate patient records and completing associated administrative and filing duties.
Supporting clinicians by acting as a chaperone when required and appropriately trained.
Keeping up to date with practice communications, procedures and changes.
Ensuring reception and patient-facing areas are kept professional, tidy and safe.
Supporting colleagues and the wider practice team as required.

About You

We are looking for someone who:

Has excellent communication and customer service skills.
Is friendly, approachable and compassionate when dealing with patients.
Is organised and able to prioritise tasks effectively.
Can remain calm and professional in a busy environment.
Is confident using computers and able to learn new clinical and administrative systems.
Has excellent attention to detail and understands the importance of accurate record keeping.
Understands the importance of patient confidentiality and information governance.
Can work effectively both independently and as part of a wider team.
Is reliable, flexible and willing to support colleagues when required.
Is able to use good judgement and common sense when dealing with a range of situations.
Is willing and able to work flexibly across our practice sites when required.

Previous experience working within General Practice, the NHS or another healthcare setting would be desirable but is not essential.

Experience using systems such as EMIS and Accurx would also be advantageous.

Working Hours

This is a 20-hour-per-week position, covering the following regular shifts:

Monday: OFF
Tuesday: 08:00 – 13:00 (5 hours)
Wednesday: 08:00 – 13:00 (5 hours)
Thursday: 13:30 – 18:30 (5 hours)
Friday: 13:30 – 18:30 (5 hours)

Applicants should be able to work the above shift pattern.

Due to the nature of the role, the successful candidate will have access to confidential patient and practice information. Strict confidentiality must be maintained at all times, and the postholder will be expected to comply with practice policies, procedures and information governance requirements.

You will be expected to work as part of the wider practice team and provide reasonable support to colleagues when required.

The duties outlined above represent the key responsibilities of the position but are not exhaustive. The role will be reviewed periodically, and duties may develop or change according to the needs of the practice. Any significant changes will be discussed with the postholder.
