Contract Coordinator

Join Our Team

Groundlord Ltd is a leading arboricultural and vegetation management contractor delivering a wide range of projects for public and private sector clients across the South of England.

As our business continues to grow, we are looking for an organised, proactive and motivated Contract Coordinator to support the successful delivery of our contracts.

This is a busy and varied role where you'll work closely with our Operations Team, clients and field teams to ensure projects are delivered efficiently and all contractual administration is completed accurately and on time.

The Role

As Contract Coordinator, you will play a key role in supporting the day-to-day delivery of our contracts. You'll ensure information flows effectively between clients, operational teams and the office, helping to keep projects running smoothly and efficiently.

Key Responsibilities

Updating and maintaining contract spreadsheets, trackers and management systems.
Preparing, checking and submitting contract documentation.
Liaising with clients and responding to day-to-day enquiries in a professional manner.
Supporting the Operations Team with the coordination and administration of planned and reactive works.
Monitoring contract deadlines and ensuring documentation is submitted on time.
Producing reports and maintaining accurate performance records.
Coordinating information between office staff, operational teams and clients.
Maintaining document control and accurate electronic filing systems.
Assisting with scheduling, planning and resource coordination.
Identifying and resolving administrative issues before they impact operations.
Supporting continuous improvements to contract administration processes.

About You

We're looking for someone who:

Is highly organised with exceptional attention to detail.
Has excellent IT skills, particularly Microsoft Excel, Word and Outlook.
Can confidently manage multiple priorities in a fast-paced environment.
Has excellent communication and relationship-building skills.
Is proactive, dependable and enjoys taking ownership of their work.
Works well both independently and as part of a collaborative team.
Has previous experience in an administration, coordination or contract support role.
Experience within construction, utilities, arboriculture, civil engineering or a similar operational environment would be advantageous, but is not essential.
