Full job description

We're looking for an organised, proactive, and customer-focused Service Charge & New Build Administrator to join our team. This is an excellent opportunity for someone with strong administrative skills who enjoys working in a fast-paced environment where no two days are the same.

You'll play a key role in supporting both our Service Charge and New Build teams, ensuring customers receive a high-quality service while helping to keep our systems, processes, and communications running smoothly.

This is a flexible role and can be based from home or one of our hub offices. You'll need a flexible approach to travel, as regular site visits will be required.

Our operating region includes Hampshire, Wiltshire, Somerset, Dorset, Devon, Cornwall and London.

Internally this role will be known as a Service Charge & New Build Administrator.

What you'll be doing

As our Service Charge & New Build Administrator, you'll provide vital administrative support across a wide range of activities, including:

Acting as the first point of contact for colleague enquiries relating to service charges and new build properties.
Managing shared team inboxes and ensuring enquiries are responded to promptly and efficiently.
Preparing letters, documents, mail merges, reports, and maintaining accurate records across multiple systems.
Supporting Shared Ownership completions, new tenancy account creation, staircasing changes, and new property handovers.
Raising and managing cases through Dynamics and ServiceNow, ensuring actions are completed within agreed timescales.
Providing information in response to legal enquiries, including service charge accounts, Section 22 requests, and Subject Access Requests.
Coordinating new managing agent information, communal meter details, and supporting the onboarding of new developments.
Assisting with meetings, diary management, minute taking, and general team administration.
Supporting finance processes, including invoice administration, supplier set-up, payment processing, and direct debit management.

What we're looking for

We're looking for someone who is highly organised, enjoys working with people, and can manage a varied workload with confidence, supporting a large operational team.

You will bring to the role excellent Excel skills, with strong knowledge in the Microsoft Office package. You’ll be completing mail merges, working within Sharepoint as our electronic filing system and using your strong administrative skills to be extremely effective in the role.

Although you may not have a social housing background, you will have an awareness of Service Charges.
