Full job description

Manchester’s event landscape is one of the most vibrant in the UK, spanning world-class arenas, specialist trade shows, and unique city-centre experiences. At Bloom Manchester, we support the end-to-end delivery of this diverse calendar, coordinating everything from large-scale exhibitions and farmers' markets to corporate functions and VIP experiences. We are currently looking for an Event Coordinator to join our Manchester city centre team. This is a full-time position offering a weekday rate of £15 per hour, working Monday to Friday, 10:00am to 6:00pm. As our portfolio includes live events, occasional weekend work is required and is paid at an enhanced rate of £16.50 per hour. Working alongside experienced Event Managers, you will balance office-based planning with hands-on event delivery, gaining the skills necessary to progress toward supervisory or leadership roles.

Working Pattern and Remuneration

Standard Hours: Monday to Friday, 10:00am to 6:00pm.
Base Rate: £15 per hour.
Weekend Rate: £16.50 per hour (for occasional event-based work).
Location: Manchester city centre office with travel to events across the region.

The Scope of the Role

The Event Coordinator acts as a central link between the planning phase and the live environment. Your time will be split between our office near the Northern Quarter and various event locations across Greater Manchester. Initially, you will support our senior team with administrative and logistical tasks, gradually taking on more responsibility as you become familiar with our processes and supplier network. You will be involved in the practicalities of event management, ensuring that schedules are met, contractors are briefed, and equipment arrives exactly when and where it is needed.

Core Responsibilities

Collaborate with Event Managers to develop detailed event plans, including task lists, delivery timelines, and resource schedules.
Collate information regarding venue capacity, audience requirements, and operational restrictions to ensure the event brief is translated into a workable plan.
Maintain and update internal event documentation, ensuring all stakeholders have access to the latest schedules and contact sheets.
Liaise with event suppliers and production partners to confirm availability, service specifications, and equipment requirements.
Coordinate third-party services, including lighting, sound, staging, catering, and security, ensuring all providers are aligned with the event timeline.
Gather and organise supplier quotations, booking confirmations, and delivery details for review by the Event Management team.
Communicate directly with venue contacts regarding loading bay access, parking arrangements, and on-site health and safety restrictions.
Assist in the preparation of floor plans and running orders, helping to distribute these to all on-site staff and contractors.
Attend live events to support the set-up and breakdown phases, directing suppliers to their correct locations upon arrival.
Monitor event timings in real-time, helping to manage the flow of the day and responding to any logistical shifts or delays.
Act as a professional point of contact for venue teams and clients during live delivery, maintaining high standards of service.
Support post-event administration by gathering feedback from partners and recording lessons learned to improve future delivery.

Your Experience and Skills

Previous experience in a role requiring complex coordination, such as events, hospitality, venue operations, or high-volume administration.
The ability to manage multiple tasks and deadlines simultaneously without losing sight of the finer details.
Strong verbal and written communication skills, with the ability to provide clear instructions to suppliers and professional updates to colleagues.
A practical approach to problem-solving, remaining calm and focused when schedules or requirements change at short notice.
The ability to follow structured procedures while knowing when to escalate concerns regarding contracts or expenditure to a manager.
Proficiency in using digital tools, including Microsoft Office/Google Workspace, shared calendars, and project-tracking systems.
A collaborative mindset and a willingness to work as part of a dedicated team in a fast-paced environment.
Reliability and flexibility to attend event locations across Greater Manchester, including occasional weekend commitments.
