Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of our office environment. Your energetic approach and attention to detail will help foster a productive workplace, support team members, and enhance overall office productivity. This position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant organizational culture.

Responsibilities

Manage daily office operations, including filing, data entry, and maintaining office supplies
Answer incoming phone calls with professionalism and courtesy, directing inquiries appropriately
Coordinate appointments, meetings, and calendar schedules for staff members
Prepare correspondence, reports, and presentations using Microsoft Office and Google Workspace tools
Process invoices and financial records using QuickBooks or similar accounting software
Ensure accurate data entry and maintain organized records for easy retrieval
Assist with onboarding new employees and support administrative tasks related to HR functions

Experience

Proven experience in an office environment demonstrating strong organizational skills
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Calendar)
Prior administrative experience with data entry, clerical duties, and document management
Excellent phone etiquette with the ability to communicate clearly and professionally
Strong typing skills with attention to accuracy and speed
Familiarity with QuickBooks or similar financial software is a plus
Demonstrated ability to multitask efficiently in a fast-paced setting
