Full job description

Overview

We are seeking a professional and organized Receptionist to join our team 2 days a week on a Monday and Tuesday all day and every other Saturday morning.

Your friendly demeanor and organizational skills will be the first point of contact for our valued patients. This role is vital in ensuring smooth day-to-day operations by providing excellent front-desk support and ensuring smooth communication between patients and our optical care professionals. The successful candidate will possess strong administrative skills, be personable and able to manage multiple tasks efficiently. Prior office experience and proficiency with computer systems are highly desirable.

Responsibilities

Greet patients in a courteous and professional manner
Answer incoming phone calls promptly, providing information or directing inquiries to the appropriate team members
Manage patient appointments efficiently using our office management software
Maintain accurate patient records and handle administrative paperwork with precision
Coordinate with optical staff to ensure patient needs are met and appointments run smoothly
Maintain organised records and filing systems
Assist with general administrative tasks such as photocopying, scanning and mailing
Support team members with clerical duties

Skills

Previous office experience demonstrating strong organizational skills and professionalism
Administrative experience with familiarity in scheduling systems and record keeping
Excellent communication skills to interact effectively with patients and team members
Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail
Friendly, approachable demeanor that creates a welcoming atmosphere for all visitors
Strong computer literacy
