Start Date: September 2026

Salary: £28,000 - £30,000 per annum

Holiday: 25 days plus bank holidays

Contract: Full Time, Permanent

Hours: 37.5 hours per week

Job Overview

Part of the Bicester Motion group, Historit is a premium car storage facility that is dedicated to the secure, managed storage of vintage, classic and modern cars, including supercars, racing cars as well as motorcycles.

As our Operations Coordinator, you'll help keep the day-to-day operations of Historit running smoothly by providing vital administrative and operational support across the business.

This is a varied role that combines office-based coordination with practical support in our operational environment. You'll work closely with the Business Director to coordinate business activities, support customers, maintain accurate records, assist with financial administration, and help ensure our operations run efficiently. You'll also provide hands-on support with vehicle movements, customer visits and the day-to-day running of the storage facility when required.

We're looking for someone who is highly organised, adaptable and customer-focused, with excellent attention to detail and a genuine interest in the automotive industry. Responsibilities

Business Administration

Provide administrative support to the Business Director across all areas of the business.
Maintain accurate operational records, databases and filing systems.
Prepare reports, spreadsheets and documentation as required.
Coordinate meetings, diaries and business correspondence where required.
Support document control and ensure company records remain accurate and up to date.
Maintain business systems and operational databases.

Customer Service

Act as a first point of contact for customer enquiries and requests.
Build positive relationships with customers, suppliers and visitors.
Support the delivery of a high-quality customer experience by responding promptly to enquiries and resolving routine issues.
Escalate customer concerns or operational issues to the Business Director where appropriate.

Financial Administration

Support invoicing, purchase orders and general financial administration.
Assist with debtor and creditor processes.
Prepare information required for payroll or finance processing where requested.
Maintain accurate financial records in line with company procedures.

Operations & Delivery

Support the day-to-day operation of Historit, assisting with the smooth running of business activities.
Work in collaboration with the Storage Lead to coordinate the storage, movement and tracking of customer assets, ensuring detailed and accurate records are maintained.
Assist with receiving and dispatch processes, ensuring documentation is completed accurately.
Support stock, equipment and asset management activities.
Assist with maintaining organised workspaces, operational areas and carry out building facilities tasks as required.
Follow established operational procedures and suggest improvements where opportunities are identified.

Health & Safety

Actively contribute to our shared responsibility for ensuring a safe and healthy environment for our colleague, contractors, visitors and community.
Comply with all relevant policies and procedures, including risk assessments, fire safety, emergency procedures, incident reporting, and training requirements, ensuring all activities comply with statutory and company standards.
Support routine safety checks and help to ensure operational areas are maintained to a high standard.
Report hazards, incidents or compliance concerns promptly.
Assist with maintaining records required for regulatory compliance.

General

Provide practical support across the business, including assisting on the shop floor or with operational activities when required.
Assist with company participation in events such as the Bicester Motion Scrambles which will involve weekend staffing.
Contribute to a positive, flexible and customer-focused team culture.
Undertake any other reasonable duties commensurate with the level of the role.

Skills

Full UK driving licence (manual gears)
Experience in an administrative, operations or business coordination role.
Excellent customer service.
Attention to detail
Experience working in a fast-paced environment with changing priorities.
Able to undertake the practical aspects of the role, including working within operational areas, standing for periods of time and carrying out light manual tasks, with reasonable adjustments where appropriate.
