Full job description

An exciting opportunity has arisen for an organised and motivated Pathology Screening Administrator to join the Pathology Directorate at University Hospitals Plymouth NHS Trust.

Working as part of the Pathology Administration Team, you will play an important role in supporting pathology-related screening programmes and wider administrative services. This position is ideal for someone with strong administrative skills, excellent attention to detail and a commitment to delivering high-quality patient-focused services. The role involves the accurate processing of patient and screening information, supporting administrative workflows and ensuring information is managed efficiently and confidentially.

We are looking for someone who has:
Experience working in an administrative or clerical role.
Strong IT skills, including Microsoft Office applications.
Experience of accurate data entry and record management.
Excellent organisational skills and a high level of attention to detail.
Good communication and interpersonal skills.
An understanding of confidentiality and data protection requirements.
The ability to work independently, prioritise workloads and contribute positively as part of a team.

***Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.***

As a Pathology Screening Administrator, you will:
Provide administrative support to Pathology screening programmes and related services.
Input, maintain and process patient and screening information accurately and efficiently.
Support the coordination of screening activities, ensuring records, correspondence and documentation are managed effectively.
Assist with the preparation of reports, worklists and routine administrative information.
Organise meetings, prepare documents and take minutes when required.
Provide general administrative support across the Pathology Directorate, including cross-cover for colleagues.
Contribute to the coordination and prioritisation of administrative workflows across screening and wider pathology services.
Assist in the organisation of meetings, including preparation of documents and taking minutes where required.
To support and assist with monthly invoices for Pathology and issue invoices in times of absence.

Work to established procedures with supervision available.

Organise and prioritise own workload within agreed processes.

Exercise judgement in managing routine administrative tasks and resolving non-complex issues within established procedures.

Communicate professionally with patients, clinicians and colleagues across the organisation.

Process screening-related documentation and correspondence in a timely manner.

Assist in maintaining administrative records and tracking information associated with screening activity.

Escalate any discrepancies, delays or concerns identified within screening information to a senior member of staff.

Review screening data and take appropriate action to correct or progress routine issues, escalating more complex discrepancies as required.

Assist in the organisation of meetings, including preparation of documents and taking basic minutes where required.

Maintain administrative records relating to workforce, training and departmental systems as directed.

Support the collation of information for reports (data collection only).

Maintain stock levels of stationery and order supplies as required.

Support the preparation and organisation of meetings, ensuring documentation is compiled and distributed in a timely manner.

Contribute to the collation of data for routine audits, service monitoring and performance reporting.
