JOB DESCRIPTION

Job Title: Operations Assistant

Reporting To: Head of Operations / Operations Manager

Role Summary: A developmental role that will enable the successful candidate to effective support to the Operations team, including but not limited to;

- Day to day support of the operations team.

- Ordering consumable and stock items

- Booking accommodation and transport for projects as required.

- Maintaining and organising Operations paperwork on projects.

- Attending internal project meetings to gain knowledge of projects.

Departments Tasks & Responsibilities - Candidate will develop an understanding of areas listed below.

Procurement & Supply

Maintain and deliver a centralised procurement process ensuring maximum value for money for the company.
Negotiate favourable terms and rates on spend with key suppliers.
Provide financial information to accounts relevant to invoices in a timely fashion.
Ensuring stock levels are maintained.
Contribute to the creation and implementation of best practice logistics vision, strategy, policies, processes, and procedures to aid and improve operational performance.
Deliver solutions to logistics problems while maintaining high levels of quality and service within budgetary requirements.
Monitor quality, quantity, delivery times, and transport costs.
Select carriers/suppliers and monitor service against performance criteria.

Logistics & Fleet Support

Ensuring maintenance of all vehicles are compliant with dealership warranties, weights, & measures, petroleum authorities and transport bodies. Maintain inspection/service calendars, ensure vehicles are fully inspected and recorded appropriately.
Ensure that all drivers understand and procure the licenses and permits they need to legally carry loads to customer destinations
Responsible for monitoring and managing vehicle costs and performance data system (including tracking).
Ensure that all load paperwork associated with each run is accurate and submitted to the proper people.
Support of 'O' Licence management ensuring all records are kept and vehicle maintenance schedules are kept.
Plan, manage and evaluate logistics operations liaising with internal team, suppliers, logistics providers, transportation companies and customers.
Resolve problems concerning transportation, logistics systems, imports or exports or customer issues.

Health & Safety

Support continuous improvement of Health and Safety initiatives and processes.
Ensure all staff training logs are up to date.
Testing and maintenance of Fire alarm and intruder alarm are kept up to date an in line with HSE guidelines.

General Tasks

Contribute to the development of a culture that enjoys the challenge of experiential production.
To carry out all duties in accordance with company policies and standards.
To ensure we deliver sustainable practices in all areas of the business, innovate and drive change to ensure sustainability is at the heart of what we do.
Any other tasks as identified by the Operations Director / Operations Manager.

Job Types: Permanent, Full-time

Pay: £26,000.00-£28,000.00 per year
