Job Summary
We are seeking a highly organised and detail-oriented Planner/Administrator to join our team. The ideal candidate will play a crucial role in coordinating various administrative tasks, ensuring smooth operations within the office environment. This position requires proficiency in Microsoft and Excel. The Planner will be responsible for managing schedules, maintaining records, and providing clerical support to enhance productivity.

Responsibilities

Coordinate and manage schedules, appointments, and meetings for team members.
Maintain accurate records and files, ensuring all documentation is up to date.
Perform data entry tasks with a high level of accuracy and attention to detail.
Utilise Google Suite applications for document creation, spreadsheet management, and presentations.
Provide clerical support by answering phone calls, responding to emails, and managing correspondence with professionalism.
Organise office supplies and maintain an efficient filing system to facilitate easy access to information.
Data Input for claims received from daily works reports
Opening and closing permits
Liaise with councils and clients
Ordering materials and issuing PO numbers
Uploading daily photos to file
Monitoring daily whereabouts
Forecast for week ahead
Maintaining vehicle trackers and faults
Preparing job packs
Maintaining fuel cards
Communication daily with site staff

Skills

Strong administrative skills with a focus on organisational abilities.
Proficient in using Google Suite applications (Docs, Sheets, Slides) for various tasks.
Experience with clerical duties including data entry and record management.
Familiarity with or similar accounting software is advantageous.
Excellent phone etiquette and communication skills to interact effectively with clients and colleagues.
Ability to work independently as well as collaboratively within a team environment.
Strong attention to detail and ability to manage multiple tasks simultaneously.
