Full job description

Job Summary

The post holder will support the practices’ clinical team in the delivery of clinical services, working as a vital part of the practice team, leading to improved service and outcomes and for our patient population.
The Clinicians Assistant (CA) will support clinical staff in all aspects of daily operational effectiveness, general co-ordination and administration such as managing tasks, paperwork or queries on a day to day basis to enable clinicians to spend more time with patients, providing clinical care.

Key Responsibilities

The following are the core responsibilities of the Clinicians Assistant. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Direct, sort and transfer incoming queries on the ‘askmyGP’ system appropriately.
Direct results from ICE through tasks and docman to be managed appropriately.
Direct results from path links through tasks and docman.
Actively chase blood results.
Call patients to inform them of their most recent results.
Arrange appointments on behalf of the clinicians.
Calling hospitals to speak with consultants with urgent and non-urgent queries.
Arrange appointments with community phlebotomists.
Active management of tasks and docman.
Complete follow up tasks for patients, if required.
Carry out all death administration and communicate with next of kin and or family.
Manage reports that come into the practices, including Job centre, PIP, UC.
Manage letters that patients are requesting, e.g., diamond travel card, TWIMC, letters outlining their current medical problems or medical history.

Delivering a Quality Service

Recognise and work within own level of competence.
Produce accurate and complete records of patient interactions, consistent with legislation, policies and procedures.
Prioritise, organise and manage own workload in a manner that maintains and promotes quality.
Monitor and evaluate adherence to local chaperoning policies.
Undertake training required to meet the needs of the role effectively.

Team Working

Understand own role and scope and identify how this may develop over time.
Work as an effective and responsible team member, supporting others and exploring the mechanisms to develop new ways of working.
Prioritise own workload and ensure effective time-management strategies are embedded within the culture of the team.
Work effectively with others to clearly define values, direction and policies impacting upon care delivery, co-ordination or other business functions.
Discuss, highlight and work with the team to create opportunities to improve patient care.

Management of Risk

Assess and mitigate risk within the areas of responsibility, ensuring adequate measures are in place to protect staff and patients.
Monitor work areas and practices to ensure they are safe and free from hazards.
Comply with infection-control measures within the practice according to current local and national guidelines.

Communication

Demonstrate sensitive communication styles, to ensure patients are fully informed.
Communicate effectively with patients and carers, recognising the need for alternative methods of communication to overcome different levels of understanding, cultural background and preferred ways of communicating.
Anticipate communication barriers and take action to improve communication.
Maintain effective communication within the practice environment and external.
Act as an advocate for patients and colleagues.
Ensure awareness of sources of support and guidance (e.g. PALS) and provide information in an acceptable format to all patients, recognising any difficulties and referring where appropriate.

Managing Information

Use technology and appropriate software as an aid to manage the planning, implementation and monitoring of care, presenting and communicating information clearly.
Understand responsibility of self and others to the practice and wider organisation regarding the Freedom of Information Act.

Learning and Development

Disseminate learning and information gained to other team members in order to share good practice.
Assess own learning needs and undertake learning, as appropriate.
Take responsibility for own learning and performance.

Equality and Diversity

Enable others to promote equality and diversity in a non-discriminatory culture.
Support people who need assistance in exercising their rights.
Act as a role model in the observance of equality and diversity good practice.
Accept the rights of individuals to choose their care providers, participate in care and refuse care.

Undertake any training required in order to meet the needs of the practice.

Skills and Experience:

Experience of working in a primary care or general practice setting (Essential)
Experience of working with the general public (Essential)
Ability to record accurate patient notes (Essential)
Ability to follow policy and procedure (Essential)
Experience of working in a healthcare setting (Desirable)
Working knowledge of EMIS (Desirable)
Working knowledge of the ‘askmyGP’ system (Desirable)
