Full job description

Administrative Assistant

Hours: 12-16 hours per week over Monday, Tuesday and Thursday mornings.

We are seeking an organised, proactive and detail-focused Administrative Assistant to join our busy and supportive college team.

This is an excellent opportunity for someone who enjoys working in a varied role, takes pride in delivering high-quality administrative support and can work effectively both independently and as part of a team.

The Role

Reporting to the Programme Coordinator, you will play a key role in supporting the day-to-day administration of programmes and ensuring the smooth operation of departmental activities.

Key responsibilities will include:

Answering and directing incoming telephone calls.
Greet visitors and providing a professional first point of contact.
Responding to enquiries from students, employers and other stakeholders.
Maintaining accurate digital records, databases and spreadsheets.
Operating and updating management information systems.
Conducting a range of administrative and clerical tasks.
Invigilating examinations in accordance with awarding body requirements.
Supporting colleagues across departments by responding to administrative requests and queries.
Ensuring records are accurate, compliant and up to date at all times.

What We're Looking For

Essential Criteria

Minimum of 1 year's experience in an administrative or office-based role.
GCSE Grade C or above (or equivalent) in English and Mathematics.
Strong ICT skills with a working knowledge of Microsoft 365, including Word and Excel.
Excellent organisational and time management skills.
Strong attention to detail and accuracy.
Ability to prioritise workload effectively and meet deadlines.
Ability to follow established processes, procedures and systems.
Strong communication and interpersonal skills.
Ability to work collaboratively as part of a team.
A proactive approach with the confidence to use initiative when required.
