Full job description

Knox Mortgages is looking for an experienced and highly organised Mortgage and Bridging Finance Personal Assistant to support our growing team of advisers. You’ll act as a key point of contact for clients, lenders, and solicitors, ensuring cases progress smoothly from initial enquiry through to completion. You’ll assist with admin, CRM management, documentation, and client communication—keeping everything on track behind the scenes.

This part-time role (24 hours per week) comes with flexibility, remote/hybrid options, and the potential to transition into a full-time position as we continue to grow.

Who We Are:
Knox Mortgages is a dynamic, UK-based mortgage brokerage specialising in helping first-time buyers, self-employed applicants, and clients on visas secure the right mortgage and protection. We’re regulated by the FCA and known for our personable approach, clear communication, and commitment to getting the job done right.

What You’ll Be Doing:

Act as a PA to mortgage advisers, managing day-to-day admin and follow-ups
Liaise with clients to collect information and check documents, and keep them updated throughout
Communicate with lenders, solicitors, and protection providers
Prepare fact-find summaries, application packs, and suitability documentation
Maintain case progression within our CRM systems (Smartr365 and Go High Level)
Monitor and manage adviser inboxes and calendars
Ensure all activity is FCA-compliant and properly recorded

What You’ll Need:

Experience as a Mortgage Administrator or Mortgage PA is essential
Familiarity with UK lender processes and mortgage journey
Knowledge of Twenty7tec CRM and/or Go High Level is a big plus
Excellent communication and organisational skills
Self-motivated with strong attention to detail
Confidence working independently in a remote or hybrid environment
Solid understanding of FCA compliance and documentation requirements
