Full job description

Job Title: Charity Data and Income Administrator

Hours: 15 hours per week (Monday to Friday)

Salary: £28,000 per annum (pro rata) depending on experience

Location: Remote with occasional travel to head office in Newbury and our centres

The Charity Data and Income Administrator plays a vital role in ensuring that every donation to Dingley’s Promise is accurately recorded, carefully managed, and meaningfully connected to the impact it creates for children with SEND. This role safeguards the integrity of our financial and supporter data, ensuring we can trust what we know about our income, our supporters, and our growth as a charity. Working closely with the Head of Fundraising and finance colleagues, you will ensure that income is processed correctly, Gift Aid is maximised, and our CRM system (Donorfy) is maintained to the highest standard. This is a role for someone who finds purpose in precision — who understands that accurate data is not just administration, but the foundation that enables life-changing work for children and families.

Key Responsibilities:

Every Donation Matters

Process and record all charitable income with accuracy and care across online, offline, and cash giving channels.
Ensure every donation — whether large or small — is correctly acknowledged, allocated, and recorded within Donorfy.
Investigate and resolve discrepancies so that supporter generosity is always reflected correctly.
Support monthly reconciliation with finance colleagues to ensure complete and accurate income reporting.
Handle cash donations and collections in line with strict governance and safeguarding procedures.

Maximising Support Through Gift Aid

Ensure Gift Aid is claimed accurately and efficiently, maximising the value of every eligible donation.
Maintain compliant records in line with HMRC requirements and charity best practice.
Help ensure we never miss an opportunity to turn generosity into greater impact for children.

Protecting and Strengthening Our Data

Take ownership of the day-to-day quality and integrity of the Donorfy CRM system.
Ensure supporter and donor information is accurate, up to date, and handled in full compliance with GDPR.
Carry out regular data cleansing, deduplication, and quality checks.
Ensure supporter preferences are respected and recorded with care and accuracy.
Provide support and guidance to colleagues and volunteers using the database.

Insight That Drives Impact

Produce accurate and timely income reports to support fundraising, planning, and financial decision-making.
Identify trends in giving and supporter engagement to help the team understand and grow our income.
Support forecasting and budgeting by ensuring high-quality financial data is available when needed.

Supporter Care and Relationships

Respond to donor and supporter queries with professionalism, empathy, and care.
Ensure all interactions with supporters are recorded accurately, building a full picture of engagement and impact.
Support stewardship by ensuring donors are thanked promptly and meaningfully.
Handle sensitive communications (including in-memory and legacy giving) with compassion and discretion.

Supporting the Wider Fundraising Team

Provide administrative support to fundraising colleagues to help maximise income generation.
Support fundraising events and activities where required, including occasional evenings and weekends.
Assist with inbox management, communications, and volunteer coordination within the fundraising function.

Person Specification

What You Bring

At least 2 years’ experience in a finance, charity, or data administration role.
A strong understanding of financial processes including reconciliation, coding, and audit requirements.
Experience working with CRM systems (Donorfy or similar) and managing complex datasets.
A high level of accuracy and attention to detail in all aspects of data and financial processing.
Experience handling multiple income streams and online fundraising platforms.
Confidence using Microsoft Excel and producing clear, accurate reports.

Knowledge & Understanding

Understanding of Gift Aid processes and HMRC compliance.
Knowledge of GDPR and the importance of protecting supporter data.
Awareness of fundraising principles and the importance of donor stewardship.
Appreciation of how accurate data underpins charitable impact.

Desirable

Experience with Gift Aid submission processes.
Experience supporting fundraising campaigns or events.
Experience working in the children’s or SEND charity sector.
