Full job description

At Baylis, we are looking for a highly organised and detail-focused Warranty Administrator to join our team in Gloucester on a full-time, permanent basis.

This is an exciting opportunity to play a key role within our aftersales team, ensuring warranty claims are processed accurately and efficiently across multiple automotive brands. If you have strong administration skills, excellent attention to detail, and enjoy working in a fast-paced environment, we’d love to hear from you.

The Role

As a Warranty Administrator, you will be responsible for the smooth and compliant management of warranty claims, ensuring submissions are accurate, timely, and aligned with manufacturer guidelines and company standards.

Key Responsibilities

Prepare, submit, and monitor warranty claims across multiple vehicle brands
Review repair orders to ensure accuracy, completeness, and compliance with manufacturer requirements
Liaise with Service Advisors, Technicians, and manufacturers regarding claim progress and supporting documentation
Monitor outstanding warranty receivables and follow up where required
Reconcile warranty payments and resolve discrepancies efficiently
Maintain accurate and organised warranty records
Keep up to date with manufacturer policies, systems, and procedures
Support warranty audits, reporting, and wider service department administration when needed

About You

We are looking for someone who is highly organised, methodical, and confident managing administration tasks with a high level of accuracy.

You will ideally have:

Previous administration experience (essential)
Previous warranty administration or automotive dealership experience (desirable)
Knowledge of manufacturer warranty systems and portals (advantageous)
Excellent attention to detail and organisational skills
Strong communication and problem-solving abilities
Confidence using Microsoft Office and dealership management systems
The ability to work independently as well as part of a team
