Job Title: Events and Admin Co-Ordinator – CW Champions
Salary Band: £30k - £35k per annum
Job Type: Fixed Term Contract until 31st March 2027
Working Pattern: 37 Hours FTE (Monday – Friday)
Reporting To: Commercial Manager – CW Champions

We’re looking for a highly organised and proactive individual with strong administrative and co-ordination skills, who can support the effective planning and delivery of CW Champions events and related activity. You will be confident managing bookings, communications, logistics and financial processes, while maintaining accurate records, documentation and internal systems. With a professional and detail-focused approach, you will help ensure events are delivered efficiently and to a high standard.
You will be an excellent communicator who is comfortable liaising with clients, venues, suppliers, stakeholders and delegates, and able to build positive working relationships at all levels. You’ll be adaptable, dependable and able to manage multiple priorities in a fast-paced environment, supporting both event delivery and wider project activity. A genuine enthusiasm for delivering a positive experience and contributing to the success of CW Champions will be key to thriving in this role.

Main duties and responsibilities:
You will be responsible for supporting the effective planning, promotion and team delivery of CW Champions events and related administrative activity. You will co-ordinate bookings, communications, logistics, financial processes and post-event reporting, while maintaining accurate records, project documentation and internal systems. Working closely with clients, venues, suppliers, stakeholders and delegates, you will help ensure events are delivered professionally, efficiently and to a high standard, while also contributing to wider project support and process improvement.
Role and responsibilities:
· Schedule meetings, appointments and co-ordinate company events and conferences.
· Support the promotion of forthcoming events as necessary to achieve expected delegate numbers per event.
· Manage delegate bookings, including updating relevant systems and documents with accurate information, sending confirmation emails and joining instructions and being a point of contact for queries, both internally and externally.
· Liaise with clients, venues, suppliers, stakeholders and speakers to ensure events are well prepared for.
· Support with running the events through activities such as creating name badges, running registration of delegates at the event, and attending events, to ensure that delegates have an excellent experience.
· Manage any events invoicing, following correct financial procedures including management of financial records and completion of financial documents.
· Support the promotion of CW Champions activity and events through social media channels, particularly LinkedIn, including drafting posts, scheduling content, capturing event highlights, and encouraging engagement before, during and after events.
· Create and curate live event content, including photographs, attendee and speaker highlights, key messages and success stories, helping to increase audience reach, engagement and visibility for CW Champions and its members.
· Support post-event evaluation and follow-up activities to help review feedback and overall event success.
· Handle correspondence, prepare documents and manage databases.
· Create and maintain any project documentation and trackers.
· Support with project timelines, budgets and schedules.
· Help improve internal processes and workflows.
· Undertake any other duties required to fulfil overall CW Champions objectives.
Person Specification:
· Excellent organisational and time-management skills.
· Previous experience in events, project coordination, or a similar role preferred.
· Experience supporting live events would be highly beneficial.
· Strong communication and relationship-building abilities.
· Ability to manage multiple projects simultaneously.
· High attention to detail and a proactive problem-solving mindset.
· Confidence working independently and collaboratively.
· Competent experience using Microsoft Office packages, with a strong focus on Excel, alongside Word and other core applications.
· Experience using LinkedIn and other social media platforms in a professional environment, including creating engaging content and supporting event promotion campaigns.
· Understanding of best practice for social media at live events, with the ability to identify engaging content opportunities, capture key moments and communicate professionally on behalf of an organisation.
· Experience using Eventbrite is highly desirable, particularly in setting up events, managing bookings and tracking attendee information.
· A positive, can-do attitude and willingness to learn.
