We are seeking an exceptional Executive Assistant to provide first-class support to the CEOs of Holker Group & Holker Homes. This is a varied and rewarding opportunity for a highly capable individual who enjoys working at pace, thrives on responsibility and takes pride in delivering consistently high standards.
The successful candidate will bring proven experience supporting senior executives, ideally within a complex and dynamic environment, and will play a central role in coordinating priorities, communications, and governance activity. The role offers the opportunity to work closely with senior leadership, contribute across a broad remit and become a valued part of a collaborative estate team.
Combining high-level Executive Assistant responsibilities with hands-on office management, this role offers variety, autonomy, and the chance to make a visible contribution. It is ideally suited to someone who is equally comfortable operating at senior level while ensuring the smooth and professional day-to-day running of the estate office.
37.5 hours per week - Monday-Friday 9am-5pm.
Salary range: £30,000-£32,000, dependent on experience.
Key Responsibilities:
Executive Support to CEOs
- Provide comprehensive Executive Assistant support to two CEOs, managing a varied and evolving workload.
- Function as a trusted gatekeeper and key point of contact, handling communications with professionalism and discretion.
- Proactively manage priorities, deadlines, and business commitments to support the effective use of executive time.
- Prepare briefing notes, reports and supporting documentation in advance of meetings and key decisions.
Diary & Travel Management
- Manage complex, high-volume diaries across multiple business functions and competing priorities.
- Coordinate internal and external meetings, ensuring schedules are efficient, practical, and professionally managed.
- Arrange travel, accommodation and detailed itineraries as required.
- Anticipate and resolve scheduling conflicts, responding calmly and effectively to changing requirements.
Board & Senior Meeting Support
- Organise and coordinate board and senior leadership meetings with a high degree of accuracy and professionalism.
- Prepare agendas and collate, distribute, and manage board packs and supporting papers.
- Attend meetings and produce accurate, timely and professional minutes.
- Track actions and follow up with relevant stakeholders to ensure progress and accountability.
- Support governance and compliance processes as required.
Office Management
- Oversee the day-to-day management of the estate office, ensuring a highly professional, well organised, and welcoming environment.
- Maintain efficient office systems, processes and administrative standards that support the smooth running of the wider business.
- Coordinate contractors, suppliers, and service providers, ensuring requirements are managed promptly and to a high standard.
- Ensure the office remains well maintained, fully resourced, and consistently presented to a high standard.
5. General Administrative, Business & Operational Support
- Manage office procurement and supplies to ensure the estate office remains fully equipped and efficiently run.
- Maintain accurate filing systems, records, and document control processes to support effective administration and governance.
- Process expenses and provide high-quality administrative support across finance and business operations.
- Provide flexible support across departments as required, contributing to the efficient delivery of wider business priorities.
- Support key business projects and initiatives, ensuring actions are followed through with professionalism and diligence.
The Ideal Candidate Will Have:
- Substantial experience in a comparable Executive Assistant, PA, or senior support role.
- Proven experience supporting senior executives, ideally within a complex, fast-paced, or multi-faceted organisation.
- Strong experience organising and minuting board or senior leadership meetings with accuracy and discretion.
- Excellent organisational, administrative and office management skills, with exceptional diligence.
- A polished, confident, and discreet approach, supported by strong interpersonal and written communication skills.
- High levels of IT literacy, including strong proficiency in Microsoft Office, particularly Outlook, Word and Excel, and the ability to adopt new systems quickly.
- A full UK driving licence and access to your own transport and appropriate ‘business use’ insurance in place for occasional use to travel to business meetings.
