We have an exciting opportunity to join the small, but growing Venton team as our Events Coordinator.
Venton Conference Centre has been open for over five years and is growing at a rapid pace, with the addition of three new spaces which opened last year. The purpose built venue boasts state-of-the-art facilities and we pride ourselves in offering quality, professionalism and a warm welcome to all of our clients.
As Events Coordinator, you will be responsible for supporting the Conference Operations Director in the smooth running of events, whilst ensuring clients have a positive experience from start to finish. You would also be expected to build on client/supplier relationships using excellent communication and interpersonal skills.
Main responsibilities include:
- Welcoming delegates on arrival.
- Support the Conference Operations Director with the online booking system to review and accept new bookings.
- Answering general enquiries promptly and professionally.
- Show prospective clients around the centre (when appropriate).
- Ensuring meeting rooms are kept presentable and set up to each events’ specific requirements.
- Support the client with the set up of their presentations and/or conference calling, training will be provided.
- Ensure all events run smoothly and clients are happy throughout their visit.
- Ensure event catering is delivered into the room on time and displayed professionally.
- Attending local networking events.
- Carry out day-to-day troubleshooting and report any issues, to the Conference Operations Director.
- Support the Conference Operations Director with any other tasks such as stock takes and support with aquiring new contacts/building client relationships.
- Maintain a professional image at all times with smart casual dress.
Required:
- Reliable, flexible and hardworking.
- Previous experience in hospitality and/or sales and a desire to further a career within the event sector.
- Excellent communication and interpersonal skills.
- Great attention to detail and problem solving skills.
- Can – do attitude.
- A high standard of customer service skills.
- Good organisational skills and ability to multi-task.
- Experience of working in a fast paced environment and ability to work on your own.
- Excellent time keeping skills.
- Full driving license and access to own vehicle.
Desirable:
- Administrative experience.
- Experience working with Outlook, Word, Excel and online booking platforms.
Please note that the core working hours are between 8am-4pm Monday - Friday, however this will vary depending on events and business demands. There will also be the requirement to work some evening and weekend events, however this is infrequent.
