Overview of the Institution
Launched in October 2022, the world-leading university-level institution dedicated to the global business of esports and gaming.

Our contemporary campus is set within the iconic Velodrome, Queen Elizabeth Olympic Park, London, surrounded by lush and relaxing gardens.

We are boutique in nature; totally focused on the student experience via our unique TRI-Curriculum resulting in higher contact time and committed to the wellness and development of staff and students.

Purpose of this Role

The HR & Compliance Coordinator provides essential operational support across all HR and compliance functions at UCES. This role ensures the smooth running of day‑to‑day HR processes, effective use of Bright HR, and accurate maintenance of employee records, onboarding workflows and compliance documentation. The postholder also coordinates staff CPD processes, supports the annual review cycle, and maintains accurate tracking of staff KPIs on behalf of management. They play a key role in supporting colleagues, maintaining high standards of regulatory compliance, and contributing to a positive and professional working environment within a UK Higher Education context.

Key Responsibilities

HR Administration & Record Management

Maintain accurate and up‑to‑date employee records within Bright HR, ensuring full compliance with institutional and legal requirements.
Manage onboarding and offboarding workflows, including issuing contracts, collecting documentation and coordinating induction activities.
Ensure all personnel files, right‑to‑work checks and mandatory training records are complete and compliant.
Support the administration of staff absence, TOIL, leave requests and documentation through Bright HR.
Maintain HR documentation, templates and policy libraries, ensuring version control and accessibility.

Recruitment & Onboarding Support

Coordinate recruitment administration, including drafting adverts, posting vacancies, preparing shortlisting packs and scheduling interviews.
Liaise with hiring managers to ensure recruitment processes are followed consistently and efficiently.
Prepare offer letters, contracts and onboarding documentation using approved UCES templates.
Support new starters through the induction process, ensuring a smooth and positive experience.

Compliance, Reporting & Process Management

Support compliance activities including right‑to‑work checks, DBS processes (where applicable), mandatory training tracking and policy adherence.
Maintain accurate HR data for reporting purposes, supporting SLT with routine and ad‑hoc HR reports.
Ensure GDPR‑compliant handling of all HR information and documentation.
Contribute to the development and improvement of HR processes, workflows and administrative systems.
Coordinate CPD processes, including logging CPD requests, maintaining CPD records, tracking approvals and ensuring documentation is complete.

· Support the annual staff review and appraisal cycle, including scheduling meetings, preparing documentation packs and ensuring timely completion of review forms.

· Maintain KPI tracking logs on behalf of management, ensuring accurate, up‑to‑date records of staff performance indicators and deadlines.

Employee Support & Internal Communication

Act as a first point of contact for routine HR queries, providing clear and timely information to colleagues.
Signpost staff to relevant policies, processes and documentation.
Support internal communication relating to HR processes, deadlines and updates.
Promote a positive, professional and inclusive working environment aligned with UCES values.

Collaboration & Institutional Contribution

Work closely with the SLT and wider operational teams to ensure joined‑up HR and compliance processes.
Support institutional audits, quality assurance activities and regulatory reporting where HR data is required.
Contribute to cross‑departmental initiatives that strengthen organisational culture, compliance and operational effectiveness.

Person Specification

Essential Qualifications & Skills

Experience in HR administration, compliance administration or a similar operational role within UK Higher Education.
Strong organisational skills with excellent attention to detail.
Confident using digital systems, ideally including Bright HR or similar HRIS platforms.
Strong communication and interpersonal skills.
Ability to handle confidential information with professionalism and integrity.
Good understanding of HR processes, right‑to‑work requirements and basic employment compliance.
Ability to work independently, manage competing priorities and meet deadlines.

Desirable

CIPD Level 3 (or working towards) or equivalent HR qualification.
Experience in a regulated or academic environment beyond HE.
Experience supporting recruitment processes.
Familiarity with UK employment legislation and HR best practice.

Experience

Experience providing administrative support in HR, compliance or operations specifically within a UK Higher Education provider.
Experience maintaining accurate records and managing digital systems.
Experience coordinating onboarding, documentation or recruitment processes.
Experience working in a fast‑paced environment with multiple stakeholders.
