Full job description

Commission: £25 per completed move-in
Hours: 37.5 hours per week
Working Pattern: Monday to Friday, plus every other Saturday (with a half-day in lieu during the week)

Purpose of the Role

To manage applicant enquiries, conduct viewings, negotiate offers and secure tenancies on behalf of landlords. The Lettings Negotiator will be responsible for delivering exceptional customer service to applicants, tenants and landlords while maximising occupancy levels across the Davidson Estates portfolio.

The role is primarily focused on applicant management, viewings, offers and agreed lets, working closely with the Lettings Administrator who will lead the tenancy progression and compliance process through to move-in.

Key Responsibilities

Applicant Management

Register and qualify new applicants.
Understand applicant requirements and match them to suitable properties.
Maintain regular contact with applicants.
Build and maintain a strong database of active applicants.
Proactively contact applicants regarding new instructions, price reductions and opportunities.
Ensure all applicant records are accurately maintained within Jupix.

Property Viewings

Arrange and conduct property viewings.
Present properties professionally and effectively.
Highlight property features, benefits and local amenities.
Obtain feedback following all viewings.
Maintain strong communication with landlords regarding viewing activity.
Maximise viewing-to-offer conversion rates.

Offer Negotiation

Negotiate offers between landlords and prospective tenants.
Secure holding deposits.
Agree tenancy terms and move-in dates.
Keep all parties informed throughout the negotiation process.
Achieve the best possible outcome for landlords whilst maintaining positive applicant relationships.

Lettings Support

Hand over agreed lets to the Lettings Administrator for progression.
Assist the Lettings Administrator where required with applicant communication and document collection.
Support applicants throughout the move-in process.
Help resolve issues that may delay referencing or move-in.
Work closely with the Lettings Administrator to maximise conversion from agreed let to completed tenancy.

Client Service

Deliver exceptional customer service to landlords, tenants and applicants.
Respond promptly to enquiries.
Build long-term relationships with landlords and applicants.
Represent Davidson Estates professionally at all times.
Maintain a positive reputation for the company through excellent service delivery.

Compliance

Assist with AML and Right to Rent requirements where required.
Ensure applicant information is accurately recorded.
Maintain detailed notes and records within company systems.
Support compliance initiatives and audits where necessary.

Team Support

Work collaboratively with the Receptionist, Lettings Administrator, Property Managers and wider team.
Assist with office cover when required.
Contribute towards departmental and company targets.
Attend team meetings and training sessions.

Key Skills & Experience

Essential

Highly organised and self-motivated.
Ability to work effectively in a fast-paced environment.
Strong attention to detail.
Good IT skills including Microsoft Office.
Full UK driving licence and access to a vehicle.

Desirable

Previous estate agency or lettings experience.
Knowledge of the Birmingham property market.
Experience using Jupix or similar CRM systems.
ARLA Propertymark knowledge.

Key Performance Indicators (KPIs)

Number of applicant registrations.
Number of viewings conducted.
Viewing-to-offer conversion ratio.
Number of agreed lets.
Number of completed move-ins.
Applicant response times.
Client satisfaction levels.
Accuracy of CRM records and notes.

Commission & Bonus Structure

New Lettings Commission

£25 for every tenancy successfully progressed to move-in where the Lettings Negotiator has secured the applicant and agreed the tenancy.

Team Performance Bonus

A quarterly bonus may be paid where departmental targets are achieved, including:

Compliance targets achieved.
Tenancy progression timescales met.
Audit scores maintained.
Company revenue and profitability targets achieved.

Bonus amounts will be determined by the Directors based on departmental and company performance.
