Are you an experienced Administrator looking for a varied and rewarding role within a busy, child-centred nursery?
Nature's Little Learners is seeking an organised, professional and proactive Nursery Administrator to provide administrative, financial, HR and operational support to our nursery leadership team. Would suit a previous nursery manager looking for a more admin focused role.
This is an excellent opportunity for someone with strong administrative skills who enjoys working in a fast-paced environment and takes pride in maintaining accurate records, delivering excellent customer service and supporting the smooth day-to-day running of a successful nursery.
Previous nursery administration experience is strongly preferred, particularly experience working with nursery management systems, Early Years funding, safeguarding compliance and safer recruitment processes.

The Role
As Nursery Administrator, you will provide efficient and professional administrative, financial and operational support to ensure the smooth running of the nursery.
You will act as a key point of contact for families, staff and external agencies while supporting compliance, recruitment, funding, payroll and nursery operations.
You will:
Administration & Customer Service
- Act as the first point of contact for parents, carers and external enquiries
- Manage incoming telephone calls, emails and nursery enquiries
- Support prospective families and arrange nursery visits and tours
- Maintain accurate records for children, families and nursery operations
- Provide excellent customer service and build positive relationships with families
- Manage diaries, meetings and nursery events
Nursery Systems Management
- Manage and maintain nursery systems including Famly, Flourish, Funding Loop and BrightHR
- Ensure digital records are accurate, compliant and regularly updated
- Maintain confidentiality and GDPR compliance
- Support management reporting and administration processes
Fees, Funding & Financial Administration
- Manage nursery fees, invoices and parent accounts
- Submit Early Years funding claims accurately and on time
- Support bookkeeping and financial administration using Xero
- Monitor payments and maintain accurate financial records
- Support budget monitoring and expenditure tracking
HR, Recruitment & Safer Recruitment
- Support recruitment campaigns and manage job advertisements
- Arrange interviews and maintain recruitment records
- Ensure compliance with Ofsted safer recruitment requirements
- Maintain records of DBS checks, references, qualifications and right-to-work documentation
- Support onboarding and induction processes for new employees
- Maintain staff personnel files and compliance records
Payroll Administration
- Process staff payroll accurately and on time
- Record hours worked, absences and payroll adjustments
- Maintain payroll records in line with legal requirements
- Liaise with management regarding payroll queries
Marketing & Occupancy Support
- Support nursery marketing activities and promotional communications
- Respond to enquiries from prospective families
- Maintain nursery waiting lists
- Support occupancy and enrolment processes
Compliance, Policies & Operational Support
- Support the review and updating of nursery policies and procedures
- Assist with maintaining risk assessments and compliance documentation
- Prepare documentation for Ofsted inspections and audits
- Coordinate maintenance works, servicing and supplier communications
- Maintain records relating to safeguarding, health and safety and regulatory compliance

RequirementsEssential Experience
- Previous experience working in an administrative role within a busy office environment
- Experience managing multiple administrative systems and processes
- Experience handling confidential information
- Experience providing excellent customer service
- Experience maintaining accurate records and documentation

- Strong organisational and time management skills
- Excellent written and verbal communication skills
- High level of accuracy and attention to detail
- Good working knowledge of Microsoft Word and Excel

- Knowledge of Early Years funding processes
Desirable Experience
- Previous nursery administration experience
- Experience within an Early Years or childcare setting
- Knowledge of Ofsted safer recruitment requirements
- Experience supporting recruitment and HR processes
- Experience reviewing policies, procedures and risk assessments
