Full job description

We are looking for a part-time receptionist/administrator to join our small friendly reception team. You should have excellent communication skills and the ability to work under pressure whilst maintaining a courteous and professional manner. Experience of working in a customer facing role would be an advantage but full training will be given.

This is a part-time position at 22 hours per week with a fixed shift pattern working 8am - 12pm Monday to Thursday, and 12:30pm - 18:30pm on a Friday. We do require candidates to have a flexible approach as various staff work shift patterns that on occasion will need holiday or sickness cover, which can start at 8am and finish at 7pm with occasional weekends such as annual flu clinics.

Tasks & Activities:

To provide a welcoming and responsive reception and telephone service to all patients and visitors ensuring enquiries are dealt with efficiently and waiting times kept to a minimum.
To book appointments and give advice with respect to the services offered by the Practice.
To deal with requests for repeat prescriptions and provide information on test results according to agreed Practice procedures.
Assist in the administrative tasks of the Practice, including internal and external post, scanning letters and reports, photocopying, receive and record payments for private medical services, making up folders for incoming patients, handling returns to Primary Care Support Services and compiling new patient records.
Respond to requests for assistance from the medical staff where reasonable and within the competence of the jobholder.
To use initiative to deal with issues as they arise, solving problems where possible or referring to others e.g. Reception Team Leader, Practice Manager or Duty Doctor or Practice Nurse as necessary

Communication:

To handle all incoming telephone calls in a friendly and courteous manner, taking appropriate actions including the accurate recording of messages
To be able to communicate clearly both written and verbally
To inform the Reception Team Leader or Practice Manager of any difficulties that arise during the course of work.

Organisation / Quality:

Understand and follow the requirements of patient confidentiality, Data Protection and the Freedom of Information Act.
Follow Practice policies, including Health & Safety, Security and Confidentiality.
Ensure that patients are correctly identified and that entries to the clinical system are accurate.
Evaluate the quality of work completed and, in discussion with the Reception Team Leader / Practice Manager implement improvements where required.

Physical Requirements:

Advanced key board skills.
Sitting for long periods of time.
The post holder may be required to stretch and bend when pulling and filing notes.
Some lifting may be involved.

To leave all areas in a neat and tidy state at the end of the agreed periods of work.
To be flexible in the approach to the needs of the Practice and cover any extra sessions where reasonably asked to do so.
To participate in compulsory and voluntary training.
To contribute to new ideas and developments within the Practice.
Participation in the evening and weekend rota.
To be flexible and able to help cover holidays and sickness
Some shifts may require the receptionist to be responsible for unlocking / locking up.

Making effective use of training to update knowledge and skills
Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazard.
Reporting potential risks identified to the Practice Manager or in his/her absence a GP partner.
Reporting accidents and incidents to the Practice Manager or in his/her absence a GP partner.
