Full job description

Job Title: Business Support Officer

Hours: 37 per week

Salary: 25,765.32 to 28,676.88

1. To prepare and undertake positive Housing Management functions utilising formal and informal communication methods.

1.1 To have responsibility for maximising income for the Association by working with Service Users around Housing Benefits, Rent Arrears and Direct Charges.

1.2 To complete Housing Benefit forms and relevant paperwork within timescales to maximise income.

1.3 To ensure all Direct Charges are collected on time and actioned and to work within the Association’s associated Policy and Procedures.

1.4 To welcome Service Users and make them fully aware of the provisions available to them within the Association and to then assist in the implementation of assessment and action plans appropriate to their outcomes.

1.5 To supervise the admission and departure of Service Users including responsibility for completion of all associated administration, including explaining the licence agreement.

1.6 To ensure Service Users comply with all relevant Housing Management processes and to offer advice and assistance to Service Users in the area of Housing Management, flat management and social skills etc in a friendly manner.

1.7 To ensure Health, Safety, including the security of the Project, is given due regard at all times, carrying out Health and Safety inspections and tasks as appropriate to the Project.

1.8 To identify any Housing Management or Safeguarding risks using the appropriate reporting systems and associated paperwork.

2. To carry out general front of house and reception duties.

2.1 To provide an efficient and courteous service to the public, colleagues and residents at all times.

2.2To implement the Association’s Visitors Policy and Procedure and monitor movement around the project using CCTV, and assist with front door management, booking in and signing out all visitors to the site, and attend to as appropriate.

2.3 To manage face to face and telephone enquiries, logging, responding and/or redirecting messages, ensuring that they are relayed to correct person.

2.4 Effective key management, when residents are leaving and returning to the project, including triggering process for any report of lost keys.

2.5 Deal effectively with a wide range of organisations and individuals as a representative of the Association, including receiving referrals and placement enquiries, appointment requests, job reporting and rent management.

2.6 Working to agreed Standards, be responsible for all correspondence and communication within the Association and all that goes out externally.

2.7 To deliver a quality administrative service that fulfils the requirements of the

Association accurately using electronic and manual systems.

3. To assist with Service Users to meet their desired goals and outcomes.

3.1 To offer advice and guidance and deal with requests from Service Users encouraging them with setting desired outcomes and having positive aspirations.

3.2 To have and continuously update knowledge of Organisations that can offer a range of services to Service Users.

3.3 To ensure the Association’s Complaints Policy and Procedure is adhered to when taking complaints from Service Users.

3.4 To ensure the Association’s Policies and Procedures are adhered to with regards to the recording and security of information relating to Service Users.

4. To promote strong engagement with Service Users, encouraging them to link in with the services offered throughout the Association and external agencies.

4.1 To work closely with colleagues from other teams and Stakeholders in promoting initiatives/activities.

4.2 To use various methods to engage with Service Users so that they sign-up to programmes.

5. To work alongside the Project staff to ensure excellent standards of accommodation are provided and maintained.

5.1 To report repairs and problems and help with the preparation of flats / rooms for occupation.

5.2 To deal with vandalism; anti-social behaviour in-line with Association Policy and Procedures.

5.3 To monitor the building security and safety by utilising CCTV and undertaking patrols.

5.4 To implement the Association’s Visitors Policy and Procedure.

6. General

6.1 To participate in any training that may be considered necessary in developing the work.

6.2 To move around Association sites if and when required to support the business need.

6.3 Strict adherence to confidentiality, particularly in the details of Service Users and staff is required at all times.

6.4 To work in accordance with the Association’s Safeguarding Accountability Framework at all times.

6.5 To treat everybody with respect and demonstrate commitment to Equality and Diversity.

6.6 To promote good practice through adhering to the Association’s Policy and Procedures and demonstrating the Association’s Behavioural Competencies and Values.

6.7 To undertake any other responsibilities and duties appropriate to the level of the post, that may be required from time to time.
