Full job description

Job Summary
We are seeking a highly organised and proactive Office Administrator to join our team. The successful candidate will play a vital role in ensuring the smooth operation of daily office activities, providing administrative support, and maintaining effective communication across departments. This position offers an excellent opportunity for individuals with strong organisational skills and experience in office management to contribute to a professional and dynamic environment.

Duties

Manage incoming calls with professional phone etiquette and direct them appropriately
Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
Assist in scheduling appointments, meetings, and events for staff members
Prepare correspondence, reports, and presentations as required
Support accounts payable and receivable processes, including invoice processing and expense tracking
Maintain office supplies inventory and place orders when necessary
Support general administrative tasks such as photocopying, scanning, and mailing documents
Collaborate with team members to improve office procedures and workflows

Skills

Proven office experience with strong organisational skills
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and QuickBooks
Excellent administrative experience with a focus on data entry and clerical duties
Strong phone etiquette with the ability to communicate professionally with clients and colleagues
Fast typing skills with high accuracy levels
Ability to multitask efficiently in a fast-paced environment
Good understanding of organisational procedures and time management techniques
Attention to detail in document preparation and data handling
