As Dermamina continues to grow, we are looking for an experienced, ambitious and highly organised Assistant Clinic Manager to join our team.
The opportunity
This is more than a traditional assistant-management position. It is a Manager Designate role, created for someone with the potential and ambition to progress into the position of Clinic Manager.
You will initially work closely with our current Clinic Manager and Directors, receiving a structured handover while gradually taking ownership of the clinic’s daily operations, team performance, patient journey and commercial results.
Progression to Clinic Manager will be based on successful completion of probation, performance and the ability to demonstrate the required management competencies. A salary review will take place upon successful promotion.
Working pattern
The position is based on a four-day working week:
- Four days per week from 9:30am–8:30pm.
- One-hour unpaid break each day.
- 40 paid hours per week.
- Working days will be arranged on a rota and may include weekends.
- Applications for three days per week may also be considered for an exceptional candidate, with salary adjusted pro rata.
Key responsibilities
Clinic operations
- Support the smooth and efficient day-to-day running of the clinic.
- Coordinate practitioner diaries, staff rotas, annual leave and team cover.
- Ensure appointment capacity is used effectively and identify opportunities to reduce gaps and maximise clinic performance.
- Oversee opening, closing and daily operational procedures.
- Maintain excellent clinic, reception and treatment-room standards.
- Monitor stock levels, place orders and liaise with suppliers.
- Ensure payments, refunds, packages and administrative processes are managed accurately.
- Identify operational issues and take ownership of resolving them efficiently.
Patient experience
- Maintain an exceptional patient journey from the first enquiry through to consultation, treatment, aftercare and rebooking.
- Respond professionally and warmly to enquiries by telephone, WhatsApp and email.
- Help patients understand appropriate treatment options and packages without using pressurised sales techniques.
- Follow up enquiries and consultations in a timely and personalised manner.
- Handle concerns and complaints calmly, fairly and in accordance with clinic procedures.
- Support the delivery of consistently high standards of patient care, confidentiality and professionalism.
Team leadership
- Supervise, support and motivate the front-of-house and administrative team.
- Delegate responsibilities and ensure daily tasks are completed properly.
- Support the training and onboarding of new team members.
- Monitor performance and provide clear, constructive feedback.
- Help maintain a positive, accountable and professional working culture.
- Confidently address underperformance, conduct or service issues when necessary.
- Act as a reliable point of contact for practitioners and team members.
Commercial performance
- Support consultation conversion, treatment-plan follow-up, rebooking and patient-retention targets.
- Monitor clinic performance and relevant operational and commercial KPIs.
- Review bookings and enquiries to identify missed opportunities.
- Contribute ideas to improve the patient experience, clinic efficiency and sustainable growth.
- Balance commercial awareness with Dermamina’s patient-first, ethical approach.
- Provide regular updates and reports to the Directors.
About you
You will be confident, commercially aware and naturally comfortable taking responsibility. You will notice what needs to be done, take ownership and follow through without needing constant direction.
You must be able to balance excellent patient care with team leadership and strong operational performance.
The ideal candidate will have:
- Previous supervisory, assistant-management or clinic-management experience.
- Experience within medical aesthetics, private healthcare, cosmetic dentistry, dermatology, plastic surgery or a comparable premium patient-facing environment.
- Strong leadership skills and the ability to motivate and hold a team accountable.
- Commercial awareness and experience working towards conversion, retention, rebooking or revenue targets.
- Excellent written and spoken English.
- A warm, polished and professional communication style.
- Confidence handling complaints and difficult conversations.
- Exceptional organisation and the ability to prioritise under pressure.
- Excellent attention to detail and administrative accuracy.
- A dependable, proactive approach and a genuine sense of ownership.
- Confidence using booking systems, CRM platforms, WhatsApp, email and Microsoft Office.
- The flexibility to work the required rota, including some weekends.
A clinical qualification is not required. We are primarily looking for an excellent operational leader with strong judgment, emotional intelligence and patient-care skills.
