Job Overview

We are seeking a dynamic and friendly Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and callers, and support administrative functions to ensure smooth daily operations. Your energetic attitude and organizational skills will help create a positive environment for clients, staff, and guests alike. Responsibilities

Greet visitors warmly, direct them appropriately, and ensure they feel welcomed upon arrival
Answer incoming phone calls promptly with professional phone etiquette, route calls accurately, and take detailed messages when necessary
Manage front desk activities including scheduling appointments, maintaining visitor logs, and handling incoming mail and deliveries
Perform data entry tasks with precision using Microsoft Office applications, Google Workspace tools, and QuickBooks when required
Maintain organized records of all administrative documents, correspondence, and files in both digital and physical formats
Support office operations by coordinating supplies, managing calendars, and assisting with clerical tasks such as photocopying and scanning
Ensure the reception area remains tidy, organized, and inviting at all times

Skills

Proven office experience with strong organizational skills to handle multiple tasks efficiently
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Drive), and data entry software
Excellent phone etiquette with clear communication skills to interact professionally with visitors and team members
Previous administrative experience with familiarity in clerical duties such as filing, scheduling, and record keeping
Strong typing skills to facilitate quick and accurate data entry
Knowledge of QuickBooks or similar accounting software is a plus
Ability to adapt quickly in a fast-paced environment while maintaining attention to detail
