Overview
We are seeking a highly organised and proactive Office Administrator to join our team. The successful candidate will play a vital role in maintaining smooth office operations, supporting administrative functions, and ensuring effective communication across departments. This is an excellent opportunity for individuals with strong organisational skills and experience in office administration to contribute to a dynamic work environment. The position is paid and suitable for those eager to develop their administrative expertise within a professional setting.

Responsibilities

Manage day-to-day administrative tasks including filing, data entry, and document management
Answer phone calls with professional etiquette and direct enquiries appropriately
Schedule appointments, meetings, and maintain calendars for staff members
Prepare correspondence, reports, and presentations using Microsoft Office and Google Workspace tools
Handle incoming and outgoing mail, emails, and courier services
Maintain organised records of client information, invoices, and other essential documents using QuickBooks or similar software
Assist with billing, invoicing, and basic bookkeeping activities
Support team members with administrative needs to ensure efficient workflow
Ensure the office environment remains tidy and well-stocked with necessary supplies

Experience

Prior office experience or administrative background is preferred
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Docs, Sheets)
Experience with QuickBooks or similar accounting software is advantageous
Strong organisational skills with the ability to prioritise tasks effectively
Excellent typing speed and data entry accuracy
Demonstrated phone etiquette and professional communication skills
Clerical experience that showcases attention to detail and reliability
