Job Overview
We are seeking a highly organised and proactive Administration Assistant to provide essential support within our office environment. The successful candidate will play a vital role in maintaining smooth daily operations, assisting with various administrative tasks, and ensuring effective communication across departments. This paid position offers an excellent opportunity for individuals looking to develop their administrative skills in a professional setting.

Location: Office, Bedford
Hours: 20 hours per week
Contract: Part-time, permanent
Reports to: Office Manager

Role purpose

Accurately enter, update and maintain the charity’s databases and CRM while providing general administrative support to the Office Manager to ensure smooth internal operations and reliable data for service delivery, fundraising and volunteer coordination.

Key responsibilities

· Enter data registers from paper and electronic sources into the database and the CRM with speed and accuracy

· Update and maintain records (donors, volunteers, service users, event registrations),

· including contact details and status changes.

· Clean, deduplicate and validate data; correct errors and flag discrepancies for the Office

Manager.

· Verify data against source documents and maintain electronic and paper filing systems.

· Assist with raising basic invoices, along with maintaining and ensuring accurate data entry and adherence to financial procedures.

· Provide general admin support: prepare documents, format templates, schedule internal

meetings, and take brief notes when required.

· Volunteer/admin support: Assist with data entry of volunteer information and DBS processes on the database. Maintain and handle relevant paperwork.

· Follow GDPR and data-protection procedures to keep information secure and confidential.

· Carry out ad hoc administrative tasks as requested by the Office Manager.

Person specification

Essential

· Proven data-entry experience with excellent accuracy and attention to detail.

· Fast and accurate typing skills.

· Proficiency in Microsoft Excel (sorting, filters, basic formulas) and

· Familiarity with databases/CRM systems.

· Good organisational skills and ability to prioritise repetitive and varied tasks.

· Strong written communication for clarifying data queries.

· Discretion and ability to handle confidential information.

· Commitment to the charity’s mission and values.

Desirable

· Experience with common CRMs (e.g., Salesforce) or willingness to learn.

· Previous experience in the charity/not-for-profit sector.

· Basic understanding of GDPR and data protection best practice.

Skills & attributes

· Methodical, reliable and patient with repetitive tasks.

· Able to work independently and as part of a small team.

· Flexible and responsive to changing priorities.
