Job Summary

We are seeking a dynamic and dedicated Receptionist to join our team on a full 24-hour schedule. This vital role involves providing exceptional front-desk support, ensuring smooth daily operations, and creating a welcoming environment for visitors, clients, and staff. The ideal candidate will be energetic, organized, and possess excellent communication skills to handle a variety of administrative tasks efficiently. This position offers an exciting opportunity to be the first point of contact and contribute to the positive experience of everyone who interacts with our organization.

Duties

Greet visitors, clients, and staff warmly and professionally, ensuring they feel welcomed and attended to promptly
Manage incoming phone calls with courteous phone etiquette, directing inquiries accurately or taking detailed messages as needed
Maintain a tidy and organized reception area, ensuring all materials are accessible and presentable
Handle data entry tasks efficiently using computer skills such as typing, Microsoft Office applications, Google Workspace, and QuickBooks when applicable
Schedule appointments, manage calendars, and coordinate meetings to support office operations
Perform clerical duties including filing, photocopying, scanning documents, and maintaining accurate records
Assist with administrative tasks such as processing invoices or receipts and updating databases with current information

Experience

Proven office experience in a reception or administrative role demonstrating strong organizational skills
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry software
Previous clerical experience involving phone etiquette and customer service is highly desirable
Familiarity with QuickBooks or similar accounting software is a plus
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Experience handling sensitive information with confidentiality and professionalism
