Background
Working as part of the Birmingham Business School and College of Social Sciences careers teams reporting directly to the Postgraduate Careers Consultant and working closely with the BBS Careers Manager, you will be responsible for the School wide Careers administration, planning, financial and communication processes that are essential to supporting the School’s, College’s, and University Careers strategy and operational deliverables.
Role Summary
The BBS Careers Administrator post exists to professionally support the delivery of a wide range of Birmingham Business School Careers administration, planning, financial and communication processes that are essential to supporting the BBS Careers team and the Birmingham Business School, College of Social Sciences, and overall University of Birmingham Careers strategy and operational deliverables. The post holder will provide administrative support across a wide range of activity but particularly in the areas of Finance/Purchasing, Student Events promotion, internal communication via newsletters and social media channels.
The post holder will provide administrative support for the design and delivery of employability programmes and events that improve the outcomes of undergraduate and postgraduate students in the UK, Singapore, and Dubai, in partnership with academic and professional services staff in the areas of Accounting, Economics, Finance, Marketing, Management, and Strategy & International Business.

The post holder will play an important role in helping the Business School and University to meet its overall targets in relation to graduate employability and work collaboratively with a range of colleagues in Birmingham Business School and Careers Network to meet shared objectives. The post holder will work towards specific Business School targets around delivering excellent student experience and ensuring that we deliver on the expectations of Business School accrediting bodies, as well as working towards the key performance targets set by the University of Birmingham.
The post holder will work closely with other colleagues in the Business School careers team and across Careers Network and the University to contribute to a community of practice around student support across our global campus locations.
Main Duties
- Work autonomously to ensure the BBS Careers team has effective, timely and proactive administrative support across a range of activities which may include; responding to student and or business enquiries, preparing documentation for both internal and external audiences, liaising with suppliers, creating and delivering content via social media channels, ensuring intranet and internet websites are up to date, compiling reports from a range of systems, carrying out market research activities, and other similar duties
- Deliver communications to students across multiple channels which may include newsletters, Canvas (VLE) announcements, and social media posts
- Provide administrative and logistical assistance to team members on the BBS Careers team which may include creating purchase orders, liaising with suppliers, taking notes at meetings, arranging travel, ensuring databases are up to date, and other administrative duties
- Provide face-to-face support via the Careers reception desk, telephone, and electronic support via email and social media to ensure all students and visitors receive an exemplary welcome and service
- Represent Birmingham Business School at events as required
- Work in accordance with the data protection act, health and safety guidance and to adhere to all university policies and procedures
- Specific areas of responsibility may change from time to time in accordance with priorities of the Careers team and School.
- Some evening and weekend work will be required as part of this role
- Work flexibly both from campus and from home dependent on work need
- Undertake tasks and activities as outlined to ensure excellent customer service standards are maintained
- Highlight problems that may affect the achievement of objectives and deadlines
- Attend and contribute to relevant meetings within Birmingham Business School
- Operation of University policies and procedures across all activities
- Ensure strong communication and affiliations across the BBS Careers team, wider school, CoSS college teams, and Careers Network
- Undertake any other duties commensurate with the grade of this post as defined by the BBS Careers Managers, Careers Consultants or other School Managers
Required Knowledge, Skills, Qualifications, Experience
Essential
- Educated to A Level standard, or equivalent level 3 qualification such as a Level 3 NVQ, or level 3 national diploma or relevant experience evidencing the skills and ability to undertake the role.
- Minimum of grade C in Mathematics and English at GCSE or equivalent level 2 qualification.
- Demonstrable experience working in a customer driven environment where exposure to corporate clients and contacts was routine
- Excellent writing skills, with experience of producing written communication for a range of audiences
- Aptitude to co-ordinate physical, virtual, and hybrid events including liaison with third parties to deliver services
- Proficient in the use of Microsoft Office applications, with experience using customer relationship management systems and the ability to learn new software systems quickly; to support, inform and improve operational effectiveness
- Ability to work effectively in a team or on projects alone to deadline, demonstrating excellent attention to detail, interpersonal, organisational and communication skills
- Deliver and maintain exceptional customer service standards across the team, making suggestions relating to service enhancements
Desirable
- Experience working within a Higher Education environment
Experience with social media such as LinkedIn and creating engaging newsletter/email content
