Full job description

Lemoncake Events is recruiting a Receptionist / Office Administrator for its Birmingham office. This is a varied position for someone who enjoys being the person others can rely on, whether that means welcoming a client, dealing with an important enquiry, preparing documents or making sure the office is ready for a busy day. The role is full time, permanent and fully office based, with a salary of £27,000 per year.

You will combine front of house, customer service and office administration, supporting an events business where schedules, suppliers, client communications and practical arrangements frequently overlap. It would suit an experienced receptionist or administrator, but we will also consider applicants from hotels, hospitality, venues, customer service, retail or other people facing roles who can bring strong organisation and a professional manner.

About Lemoncake Events

Lemoncake Events provides end to end event planning and delivery for clients across the West Midlands and other major UK locations. Our work can include corporate events, product launches, branded experiences, weddings, private celebrations, entertainment events and live productions.

Projects are managed from the original brief through to venue selection, supplier coordination, catering, décor, scheduling and delivery on the day. With numerous people and practical details involved in each event, accurate communication and dependable administration are essential to how the company operates.

The Birmingham office supports this work by keeping enquiries, appointments, documentation and internal arrangements organised. As Receptionist / Office Administrator, you will provide a helpful first point of contact while assisting the events, accounts and operations teams with their daily office requirements.

What You’ll Be Doing

Your responsibilities will include:

Welcoming clients, suppliers, event partners, interviewees and other visitors to the Birmingham office.
Answering incoming telephone calls, taking clear messages and directing enquiries to the appropriate team member.
Monitoring shared email inboxes and responding to straightforward enquiries in a professional and timely manner.
Managing the reception area and ensuring meeting spaces are clean, organised and prepared before appointments.
Coordinating meeting room bookings, client consultations, supplier meetings and internal discussions.
Receiving post, parcels and event related deliveries, checking the relevant details and notifying the correct colleague.
Assisting with outgoing post, courier bookings and collections when documents or materials need to reach clients, venues or suppliers.
Preparing letters, schedules, meeting notes, spreadsheets and other administrative documents.
Updating client, supplier and event records while checking that contact details and supporting information are accurate.
Supporting diary management and helping colleagues keep track of appointments, deadlines and follow up actions.
Ordering stationery, refreshments and routine office supplies, monitoring stock before essential items run out.
Providing printing, scanning, filing and data entry support across different departments.
Handling business and client information carefully, following the company’s procedures for confidentiality and record keeping.
Helping with practical office arrangements during busier event periods, when several projects or deadlines may be active at once.

This is primarily an office support position rather than an Event Coordinator role. You will, however, gain useful insight into how professional events are organised and how different teams work together from the first enquiry through to final delivery.

What We’re Looking For

We would like to hear from candidates who have:

Clear verbal and written English, with a courteous and professional telephone manner.
Strong customer service skills and the ability to communicate comfortably with different people.
Good organisation and the judgement to decide which tasks or enquiries need attention first.
Close attention to detail when entering information, preparing documents or passing on messages.
Working knowledge of email and Microsoft Office, particularly Outlook and Word. Basic Excel skills would be useful.
A dependable approach to attendance, punctuality and routine responsibilities.
The ability to remain composed when the office is busy or several requests arrive at the same time.
Good discretion when handling client details, commercial information or confidential conversations.
A practical attitude and willingness to assist colleagues without needing every task to be closely supervised.

Previous experience in reception, office administration, administrative support, front of house or customer servicewould be beneficial. Applications are also welcome from people who have worked in hospitality, hotels, venues, retail, call centres or client services and want to transfer their skills into a permanent office position.

An events background is not required. What matters is that you communicate well, keep accurate records and understand how much difference reliable administrative support makes to a busy team.
